Location: Montreal, Canada (Hybrid)

A role you will love
To ensure that excellent customer service is provided to all shareholders and clients through the up-front review and validation as well as the continued processing or rejection of operational documents of all incoming transfers, account transactions, dividend reinvestment requests, legal inquiries, issuer's requests and lost certificates. This service is provided after being scanned into Workflow. The incumbent is an expert member of the Operations team, sufficiently cross trained and knowledgeable in all possible transfer, legal or transaction requests and as such able to provide guidance, direction and training to the group and other interrelated units.

Key accountabilities:
- Reviews and verifies accuracy and completeness of source documents (e.g., transfer instructions, legal requests including probate/trust agreements/corporate resolutions/certificate replacement docs, direct credit instructions, Dividend reinvestment requests and optional cash payments etc.) for processing in accordance with existing business rules.
- Validate to determine if all transactions received are in transferable order or reject the items noting any deficiencies.
- Ensures that sensitive information is only provided to authorized individuals.
- Communicates submission deficiencies and provides resolutions to the presenter, as necessary
- Ensuring that all transactions are completed in the time standards required based on regulatory requirements or internal standards.
What will you bring to the role?
- College or University; or equivalent combination of education and experience is preferred.
- Bilingual - English/French
- Must be knowledgeable with regulatory security requirements.
- Broad knowledge of the Canadian Securities Industry from a Stock Transfer perspective.
- 2-3 years industry experience.
- Excellent knowledge of various Microsoft Office Applications required.
- Strong communication skills (verbal and written)
- Strong organizational and multitasking skills
- Minimum keyboarding skills of 50-60 wpm
- Ability to work independently with minimum supervision and the ability to apply professional judgment to escalate or work with other stakeholders when applicable.
- Must be proactive and someone who takes initiative.
- Must be adaptable to the changing needs of the department, including working in a rotating shift schedule between 8:30 to 7:00 pm.
- Availability to work overtime and full time in the office as required.
