Position Title Associate Athletics Director for Business Operations
Full Time/Part Time Full Time
Accountabilities
Primarily responsible for strategic and effective leadership of the business and finance operations for the Colgate Athletics Department. Oversight also includes equipment, information technology, revenue generation and sport oversight.

Responsible for the following:

  • The preparation, management, and administration of department's long-term and daily financial activities, including:
    • Responsible for ensuring compliance with NCAA, IRS, University and Department policies in business and finance.
    • Liaison to Office of Finance and Accounting for annual preparation of NCAA FRS and EADA report submission and auditing.
  • With coaches and staff members, develop and monitor sport and program budgets.
  • Implement and maintain internal controls to provide reasonable assurance of effective and appropriate resource usage, accurate financial information, adherence to contractual obligations and agreements.
  • Advise and collaborate with campus partners on financial matters, planning, and reporting.

  • Perform daily business operations functions, including but not limited to:
  • Approval of expense reports
  • Paying of invoices
  • Management of credit card limits

Other Expectations:

  • Senior level leadership for the department
    • Serve on department senior leadership team
    • Provide direction, oversight, and leadership to PERA
    • Serve on relevant campus committees as PERA representative
  • Ensure effective communication of departmental strategies and goals to coaches, administrators, student-athletes, and other internal campus constituents.
  • Supports positive relationships between the division and key stakeholders, to include alumni, local community, fans, parents, coaches, student-athletes, faculty and other University constituents.
  • Supports the effective supervision of staff as assigned. Ensures selection and hiring of high-performing employees. Manages the appropriate distribution of work assignments and high-quality of employee work production. Monitors fair and accurate performance assessments and feedback to include identifying areas for professional development and documenting and conducting disciplinary measures, as needed.
  • Provide sport supervision and continued evaluation of assigned varsity sport programs through effective oversight, communication and collaboration with Head Coaches. This will include sustained performance and execution in the following areas:
    • Fiscal responsibility
    • Scheduling conference and nonconference matches, practices, strength and conditioning, etc.
    • Recruiting/roster management
    • Student-athlete welfare and academic progress
    • Manage disciplinary situations with coaching staff and student-athletes
    • Compliance with conference, NCAA and university rules
    • Evaluate and approve fundraising initiatives in partnership with University Advancement
    • Support positive Head Coach relations with internal and external stakeholders
    • Evaluation of student-athlete experience
    • Evaluation of competitive success
    • Evaluate job performance, develop and support the professional growth of all direct reports
  • Role model positive behaviors and leadership for student-athletes, coaches and staff
  • Maintain personal compliance with all relevant governing bodies to include:
    • NCAA
    • Patriot League
    • ECAC Hockey
    • Athletics Department
    • University policies

This position has been designated as a Campus Security Authority (CSA), in accordance with the federal statutory requirements of the Jeanne Clery Act. CSAs are required to and responsible for reporting allegations of crimes they receive from students and employees to the Campus Safety Department.

Requirements

Professional Experience/ Qualifications
  • Professional experience working in athletics administration or a similar setting.
  • Ability to work cooperatively with university departments and internal and external constituents, strong leadership, management and interpersonal skills.

  • Good written and oral communication skills
  • Demonstrated experience with managing multiple tasks
  • Proven ability to relate productively with a diverse population
  • Working knowledge of all NCAA rules and regulations.

Preferred Qualifications
A minimum of 5 years of experience is preferred.

Education
A Bachelor's degree is required, preferably in accounting, business administration, finance, economics, or related field.

A Master's degree is preferred.

A current valid driver's license, in accordance with the University's Driver Safety and Motor Vehicle Use Policy is required.
