Sr. Executive Assistant to the President

Overview

The Executive Assistant serves as a strategic and relational partner to the President, providing high-level administrative and operational support to ensure she is fully equipped to lead with clarity, focus and care. This role manages the President's daily priorities and key initiatives, plans travel, oversees meeting preparation and calendar management, and supports Executive communication.

The Executive Assistant ensures both the work and the people connected to it are thoughtfully supported at every touchpoint with the relational excellence, warmth, professionalism and hospitality that defines the office of the President.

Responsibilities

Manage Daily Priorities and Key Initiatives:

  • Manage President's daily administrative priorities including calendaring meetings, task tracking, email and mail correspondence, processing expense reports and invoices, Executive travel, ordering office supplies and coordinating Operator and guest visits and meetings.
  • Maintain a strong organizational system for files, information, and follow-up for emails and meetings.
  • Oversee weekly prep material which includes: a weekly notebook with meeting pre-reads and upcoming agendas along with an updated weekly OneNote with week ahead links and overviews.
  • Track and manage all incoming requests and email correspondence, ensuring timely responses and coordinating necessary follow-up actions.
  • Develop and manage timelines for upcoming talks and key initiatives and coordinate closely with event and venue teams to ensure alignment.
  • Oversee gifts for Fundamental's graduates, Operator Visits and correspondence request.
  • Collaborate closely with strategic partners to drive maximum efficiency for President's schedule and priorities.


Plan Travel:

  • Plan and execute end-to end travel logistics including flights, accommodations, ground transportation, security, and identify travel partners.
  • Anticipate purpose of each trip and shape agenda tone accordingly by coordinating with Business and Relationship Leads and other key stakeholder for insights.
  • Build strategic travel itineraries that ensure the President is briefed, relationally aware and prepared for each engagement.
  • Coordinate cross-functional prep with internal partners (Comms, HR, Ops, Executive Events team) to ensure alignment, clarity, and efficiency.
  • Oversee planning for President's Operator Council trips, Operator trips, and Executive Committee retreat trips.


Oversee Meeting Preparation and Calendar Management:

  • Anticipate objectives and desired outcomes for meetings.
  • Coordinate technology, materials, and meeting room environment is set up for optimal efficiency.
  • Prepare the President with talking points, anticipated questions and strategic insights before key meetings.
  • Prepare Executive briefing materials, in room decks and pre-reads for Executive Committee meetings.
  • Coordinate in room decks and pre-reads for Board meetings.
  • Take notes as needed in key meetings and ensure follow-up actions are routed to appropriate owners.
  • Confirm that post-meeting deliverables and decisions are followed through and assigned action items.
  • Manage the President's calendar and all travel logistics.
  • Own and protect President's calendar by prioritizing meetings based on strategic importance, urgency and energy management.
  • Oversee recurring calendar request including Board Meetings, Executive Committee and Officer meetings, and one on one meetings.
  • Anticipate conflicts, proactively reschedule as needed, and ensure appropriate prep and recovery time between meetings.
  • Demonstrate an ability to pivot with evolving changes and navigate competing priorities to the calendar.


Support Executive Communication:

  • Draft and manage professional correspondence on behalf of the President.
  • Serve as a relational extension of the President in all internal and external communications.
  • Support Executive communications (internal and external) by maintaining tone, leadership brand, and narrative consistency.
  • Ensure every touchpoint including email, meeting, trip, or call reinforces Chick-fil-A's values.
  • Possess expert verbal and written communication skills.

Minimum Qualifications

  • Excellent communication skills including verbal, written and presentation
  • Experience in project management
  • Proficient in all Microsoft Office applications including Office 365
  • Ability to work effectively both independently and in a team-based environment
  • Strong interpersonal relationship skills
  • Experience setting and managing multiple priorities
  • Demonstrated ability to rapidly learn and effectively apply new information relevant to the role and business operations
  • Ability to anticipate needs of others, ensuring timely and efficient support
  • Experience managing confidential information
