As an Executive Assistant within the Wealth & Advice Solutions organization at Schwab, you will provide administrative support to the Managing Director, Investment & Offer Solutions, and additional managing directors in this organization.
Your primary responsibilities could include, but are not limited to:
- Managing complex calendar time management to balance business needs for senior leaders
- Optimization of regular and ad hoc meetings including conference room and logistical arrangements
- Collaborating across the enterprise on coordination and calendaring for critical gatherings and leadership meetings
- Travel management including reservations, lodging, organization, invoice processing and expense reporting
- Organizing and coordinating team events and offsites, including logistics, catering, and agendas
- Serving as the onsite office manager for some team events, partner high-level meetings, and corporate functions in Lone Tree
- Supporting efforts to drive team engagement, employee recognition and culture
- Timely completion of expense reports
- Establishing and maintaining effective and professional business relationships with all levels of management, employees, and key business partners
- Facilitating vendor management process and invoicing

What you have

Required Qualifications:
- 5+ years of administrative assistant experience in supporting executives
- Technically savvy, highly proficient in Microsoft Office Applications and able to learn innovative technologies rapidly
- Strong interpersonal and communications skills-- written and verbal, face to face, telephonic and electronic
- A service- and solutions-oriented mindset with exceptional administrative and project planning abilities
- Demonstrated ability to interact with internal and external individuals at all levels, including senior executives, colleagues, clients, and vendors
- Cross-functional and cross-company project management and relationship building skills
- Self-confident, emotionally mature, optimistic, discreet, and enthusiastic
Ideal Candidate:
- A bias for action, highly organized, and ability to successfully execute on multiple projects simultaneously
- Proven ability to work in an ambiguous, results-oriented, fast-paced matrix environment with frequent interruptions, changing deadlines and sometimes conflicting priorities
- Process orientation -- thinks systemically, 'connects the dots' and anticipates challenges or needs
