Manager Facilities is primarily responsible for managing the day-to-day operations of the Facilities function, ensuring efficient & timely support to all employees & operations with an uptime of 99.9%.
Key Performance Indicators
- Customer experience _ Controlled & qualified feedback via internal surveys. Additionally, feedback received from employees, clients, vendors, etc. should form a part of the review mechanism.
- Process implementation _ of systems & procedures on ground to ensure 99.9% uptime on all facilities related support across operations as per pre-determined budgets.
- Cost efficiency _ Execution of all support services within the specified budget _ work towards a target saving annually (budget v/s actuals).
- Vendor Management _ Managing vendors along with pre-designated SPOC`s to ensure 100% uptime in service. Also responsible for building back up for key vendors to handle emergencies.
- Team Management _ Building an efficient & motivated team that is willing to stretch the limit and deliver a 100% _ Team work, training & development. Ensure fair appraisal mechanism.

Other Facilities and Admin services - Effectively Manage other Facilities related services like Horticulture management, Pest Control services, Pantry and Floor services, Printers, Business Unit specific requirements for Employees Employee Transport Services - Manage efficient and optimal transport fleet for employee transportation (Home - Office- Home transfers) if applicable. Travel services - Effectively manage Travel services partner and ensure smooth services to employees for all International / Domestic Travel requirements - Air/Train Tickets/Road Transportation, Visa and Relocation Services. Visitor Logistics - Manage visitor logistics for overseas/Domestic Employees visiting offices / Client Visits or Govt inspections / Visits to office premises. Green Initiatives - Enhance and promote Green Initiatives in line with the ESG Objectives. Employee Engagement - Support Employee activities committee and manage logistics for all internal / External employee / Sales teams events. Wellness Initiatives - Manage and Support Wellness Activities - Ergonomics, Medical Camps. Emergency Response Plan - Design, Implement and Keep Ready 247365 Emergency Response Plan by Facilities for various Emergency scenarios like Fire/Earthquake/Floods/Civil Disturbance/Pandemic etc. Conduct annual Fire Drills and maintain records for compliances. Projects Support - Post Project completion, setup and mobilization of teams for efficiently run facilities in any new building/premise.
General Responsibilities of FM:
- Responsible for managing & maintaining a top-class infrastructure.
- Create a responsive environment within the department with the objective of being highly customer centric and driver to meet internal deadlines _ quick TAT on 99% of pending issues.
- Initiate regular team meetings to share relevant information, seek inputs, and resolve issues among team members and for the department at large.
- Reduce wastage and bring about efficiencies within the department _ work towards cost savings on budget.
- Carry out inspections of the facilities to identify and resolve issues
- Coach, mentor, train and develop Facilities team to meet current/future business requirements
- Forecast AOP and maintain expenses as per allocated Budgets/AOP
- Forecast and Plan Capital expenditure for next year in coordination with E&M.
- Track SLA and KPI of vendor partners, build an upkeep long term relationship with contractors and service providers
- Develop a strong vendor base and work towards maximizing value. Also, build adequate back-ups for core deliverables in order to achieve a 99.9% uptime.
- Automation - Target maximum automation of Facilities services for data based, trendier results.
