Administrative Assistant

Cadence seeks a creative and enthusiastic Administrative Assistant to support our Austin CSG Organization. The candidate will be responsible for providing general administrative support for various tasks. These tasks may include, but are not limited to, general filing and records maintenance, compiling data for reports, assisting with administrative tasks associated with scheduling appointments and meetings, calendar maintenance, answering/screening telephone calls, preparing expense reports, preparing/editing presentations, making travel arrangements, distributing mail, greeting/escorting visitors, assisting new employees, coordination of employee site events, vendor relationship including management of PO's, and other established general administrative tasks.

  • Interact and provide exceptional service to executive staff members, all administrators, and internal personnel from all departments at all levels and external customers and vendors. Work closely with all parties to complete tasks promptly with quality work.
  • Fully understand and support the priorities of the San Jose site as defined by the leadership team.
  • May work on special projects at the direction of the direct supervisor or other members of the IPG leadership team.
  • Manage logistics for meetings, off-sites, training, and in-person events held in SJ and virtually to include worldwide IPG attendees.
  • Event coordination & site/office management.
  • Other responsibilities as assigned.

Skills

  • Detail-oriented and reliable.
  • Proven track record in providing comprehensive support to senior-level management.
  • Ability to multi-task in a fast-paced environment.
  • Ability to anticipate executive needs and act accordingly.
  • Strong communication, organizational and interpersonal skills.
  • Proficient with MS Office, including Outlook, Word, Excel, and PowerPoint.
  • Proficient in scheduling across worldwide time zones.
  • Strong administrative experience.
  • Work is completed with minimal supervision, and assignments may be completed without established procedures.
