We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our CEO. Additionally, this role will encompass Office Assistant duties, performing a variety of administrative and support services for our new office. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to thrive in a fast-paced environment. This is an in-office role.

• Manage executive calendar, scheduling appointments, meetings, and travel arrangements.

• Coordinate and prioritize incoming requests and correspondence, ensuring timely responses.

• Prepare and edit correspondence, presentations, and reports on behalf of executive.

• Act as a liaison between executive and internal/external stakeholders, demonstrating professionalism and discretion in all interactions.

• Assist in organizing and coordinating company events, conferences, and meetings.

• Conduct research and compile data to support decision-making processes.

• Handle confidential information with the utmost discretion and maintain confidentiality at all times.

• Anticipate executive needs and proactively address issues before they arise.

• Greet and direct visitors, answer, and transfer phone calls, and provide information about the organization or department.

• Schedule and confirm appointments, and book conference rooms or other meeting locations.

• Collect and input departmental data, prepare, and distribute reports, and maintain physical or computer files.

• Distribute mail, packages, or office supplies.

• Arrange for facilities maintenance as needed.

Requirements

• Bachelor's degree preferred.

• 5 plus years of experience

• Proven experience as an executive assistant or similar role, supporting C-suite executives.

• Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

• Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.

• Strong written and verbal communication skills.

• Ability to maintain confidentiality and exercise discretion.

• Excellent interpersonal skills, with the ability to build relationships at all levels of the organization.

• Flexibility and adaptability to changing priorities and deadlines.

• Strong problem-solving skills and attention to detail.
