About This Role

Directly accountable to manage and oversee all meetings and congresses for their assigned business unit(s) internal stakeholders and external stakeholders. As a senior manager, the role is accountable to the most high-touch, complex projects, many of which are working directly with the president of BNA and/or the North American Leadership Team. Their accountability includes and is not limited to understanding the business units, products and all associated environmental factors, incorporate meeting management best practices for both virtual and live meetings or congresses and to be in compliance with all Biogen corporate, financial, legal, and regulatory and travel policies and controls. This knowledge will better support their ability to execute strategic meeting management elements to reduce overall meeting cost while improving the stakeholder (both meeting host and participant) experience. The senior manager will also mentor and train meeting and congress managers, fostering a culture of excellence in planning and execution.

What You'll Do

1. Strategic Meeting Planning & Project Management

  • Lead complex, high-touch meetings: Oversee the planning and execution of large-scale, high-touch meetings, with a focus on high-level complexity and NA Leadership Team involvement, i.e. National Summit, Leadership Summit, Cambridge Summit, NALT Offsites
  • Advisory on Meeting Architecture: Provide strategic and tactical advice on meeting design, logistics, and execution strategies for both virtual and in-person meetings, ensuring optimal outcomes. This includes management and control of program agendas to support program content.
  • Lead Cross-functional Planning Teams: Manage large cross-functional planning teams, ensuring alignment and accountability on high-stakes projects, as well as proactively managing all program timelines.
  • Manage Complex Meeting Budgets: Take full ownership of large-scale and complex meeting budgets, including negotiating, forecasting and reconciling both pcard and PO expenses.
  • Innovative Meeting Solutions: Lead the identification and integration of innovative, best-in-class practices for meetings and congresses, keeping Biogen at the forefront of the industry.
  • Congress Management: Main accountability is to meetings, but ability to manage and support congress activity on an as-needed basis. Requires an understanding of overall congress planning, including exhibits and sponsorships, participation, planning process, and ancillary event requirements (symposia, ad boards, receptions, etc.)
  • Critical Meeting Site Selection: Lead or support site visits for high-scale, critical meetings by evaluating venue suitability, logistics, and alignment with program objectives, while ensuring full compliance with Biogen's Code of Business Conduct and ethical standards.

2. Overall Meetings Budget Management

  • Ongoing Budget Oversight and Execution: Lead oversight and tracking of the overall meetings budget, managing allocations and ensuring accurate spend tracking. Oversee execution of individual meeting budgets by team members and ensure adherence to financial controls.
  • Annual Operating Meeting Budget Planning: Partner with therapeutic area leads to develop, advise on, and consolidate meeting budgets as part of the annual operating plan, ensuring alignment with strategic priorities and financial targets.

3. Vendor & Supplier Management

  • Drive Vendor Accountability: Lead performance oversight of key vendors across logistics, booth services, and end-to-end meeting operations. Conduct regular business reviews, enforce service-level agreements, and implement performance metrics to ensure excellence, compliance, and continuous improvement.
  • Foster Strategic Partnerships: Cultivate and manage high-impact supplier relationships to drive innovation, service quality, and cost-effectiveness. Collaborate closely with partners to align on business goals, streamline execution, and proactively resolve challenges.

4. Employee Training & Development

  • Mentor and Train New Employees: Take responsibility for training new hires within the CMC Team, helping them develop the necessary skills and knowledge for success in their roles.
  • Lead Team Development and Improvement Initiatives: Promote a culture of continuous learning by providing ongoing guidance and feedback to team members and meeting suppliers, as well as continue to make improvements to standard operating procedures and ways of working.

5. Compliance Processing for HCP Engagements

  • Expert in Compliance Regulations: Maintain a deep understanding of Biogen's compliance rules and industry regulations (such as HIPAA, Sunshine Act) and ensure strict adherence in all meeting and congress engagements involving HCPs and patients.

You are a strategic operations leader with extensive experience in managing complex and high-profile meetings. Your ability to think critically, lead large cross functional projects, make effective decisions, and foster relationships with senior leaders sets you apart. You are a big picture and creative thinker with meticulous attention to detail, creative thinking skills, and the ability to improve and raise the bar on event experiences. You are also passionate about setting a strong example and mentoring others on the team.

Required Skills

  • Minimum High School Diploma, Bachelor's Degree preferred
  • Must have 7+ years of hands-on experience in planning, management and executing complex, high-touch meetings and events.
  • Must have at least 3 years' experience of direct management and oversight of project teams
  • Excellent communication skills, with experience presenting to senior leadership and managing stakeholder expectations at all levels.
  • Highly skilled in strategic project, time and budget management, and be able to work in a fast pace, flexible and changing work environment.
  • Proven ability to build and maintain strong relationships across all levels (Administrative to C-level executive)
  • Must be well organized
  • A creative problem-solver, able to think outside the box and bring fresh ideas to complex meeting challenges.
  • Able to travel at least 25% of time in the US

Preferred Skills

  • Hands on working experience in Biotech and or Pharmaceutical meeting and congress planning
  • Knowledge, understanding and experience with pharmaceutical regulations such as (HIPPA and the Sunshine Act)

Job Level: Management

Additional Information

The base compensation range for this role is: $121,000.00-$162,000.00

Base salary offered is determined through an analytical approach utilizing a combination of factors including, but not limited to, relevant skills & experience, job location, and internal equity.
