About This Role

The Operations & Administration Specialist - Medical Department is a key member of the Polish medical organization, working under the guidance of the Medical Director. In this role, you will support the implementation of the medical strategy in Poland and ensure the smooth operation of medical activities in the country. You will collaborate with local medical teams to execute the National Medical Plan across all therapeutic areas, ensuring high-quality standards in medical operations. This role is pivotal in advancing the strategic objectives of the Polish Medical Department and requires close collaboration with various stakeholders, including Compliance, Legal, Finance, and Commercial teams.

What You'll Do

  • Oversee and manage medical projects, including external medical-scientific engagements and sponsorships.
  • Drive sustainable operational efficiencies and implement best practices to optimize the use of systems and technologies.
  • Guide team members in resolving operational challenges.
  • Coordinate and manage relationships with external agencies and vendors.
  • Minimize the operational burden on the local medical team by partnering operationally with Medical Leads and MLMs.
  • Seek synergies in processes across all therapeutic areas.
  • Serve as the point of contact for digital projects within the medical department.
  • Ensure proper management of congress procedures and rollouts.

A true team player, you communicate effectively in both Polish and English and bring a proactive, solution-oriented mindset to everything you do.

Note: This role requires the candidate to hold a valid work permit and residency in Poland, as well as native-level fluency in Polish.

Required Skills

  • Bachelor's degree.
  • 1-3 years of experience in functional operations, process optimization/execution, and systems implementation.
  • Excellent verbal and written communication skills in Polish and English.
  • Strong team player with the ability to work within a matrixed organization.
  • Ability to prioritize tasks and exercise sound judgment.
  • Comfortable navigating a changing environment.

Preferred Skills

  • Project or program management certification.
  • Experience in managing and leading initiatives, and in driving quality and governance efforts across an affiliate.
