Associate Director, Strategic Meetings & Incentives

About This Role

As an integral leader in our Corporate Meetings & Congresses team, you will strategically shape incentive programs, VIP events, executive summits, and other high-profile meetings that influence business outcomes at the highest levels. Reporting to the Head of BNA Meetings & Congresses, you will serve as a trusted partner to senior executives - including the NA President and North American Leadership Team - ensuring every program delivers measurable ROI, strengthens relationships, reinforces our brand, and inspires our most valued stakeholders.

This role blends creative vision, operational excellence, and business acumen to design experiences that both celebrate and motivate. You will set the standard for strategic meeting execution, mentor team members, and drive innovation while ensuring compliance with all corporate, financial, legal, and regulatory requirements.

What You'll Do

1. Strategic Leadership & Stakeholder Partnership

  • Serve as the primary delegate for the Head of BNA Meetings & Congresses, representing the department in leadership meetings, cross-functional initiatives, and high-level decision-making when the Head is unavailable.
  • Act as the senior escalation point for strategic, operational, or stakeholder issues, ensuring timely resolutions that align with leadership priorities.
  • Serve as a senior strategic advisor to senior leadership, influencing program design, destination selection, agenda architecture, budget allocation, and creative direction.
  • Partner with business leaders to develop multi-year strategic meeting and incentive plans that align with enterprise priorities.

2. Program Architecture & Operational Excellence

  • Oversee the end-to-end design and execution of complex, high-touch incentive and executive-level programs, ensuring exceptional quality and white-glove service at every touchpoint.
  • Manage programs that involve high-level visibility and interaction with NALT and other senior stakeholders.
  • Leverage emerging trends, luxury travel experiences, and innovative engagement techniques to craft memorable, brand-aligned programs.
  • Lead site selection and vendor negotiation processes, championing an unmatched brand essence in all decisions, while ensuring all activities comply with Biogen's Code of Business Conduct and ethical standards.
  • Track program KPIs, including participant engagement, cost savings, and qualitative feedback, presenting insights to senior leadership.

3. Budget Planning & Governance

  • Partner with business leads to advise on and consolidate meeting and incentive budgets as part of the annual operating plan.
  • Ensure strategic allocation of funds across multiple programs, balancing cost-effectiveness with premium attendee experiences.
  • Enforce adherence to financial controls, approval processes, and corporate budget policies.

4. Supplier & Vendor Performance Management

  • Leverage an elite network of global vendors, DMCs, venues, and production partners.
  • Establish and maintain supplier performance metrics, service-level agreements, and regular business reviews to ensure excellence and continuous improvement.

5. Mentorship & Team Development

  • Act as a mentor and role model for the CMC team, offering strategic guidance, best practice sharing, and problem-solving support.
  • Provide feedback, training, and coaching to elevate team skills and execution quality, fostering a culture of collaboration and excellence.

  • 10+ years of progressive experience in strategic meeting, incentive, and high-profile event management.
  • 5+ years managing large-scale, complex projects with executive-level stakeholders.
  • Proven ability to mentor and influence without direct reporting lines.
  • Strong budget management skills, including forecasting, allocation, and reconciliation for multi-million-dollar programs.
  • Expertise in destination sourcing, agenda design, and experience-driven programming.
  • Exceptional communication and presentation skills, with the ability to influence senior leadership.
  • Highly organized, adaptable, and able to manage multiple priorities in a fast-paced environment.
  • Ability to travel at least 25%, including international destinations.

Preferred Qualifications

  • Biotech or pharmaceutical industry experience in meeting and/or incentive planning.
  • Knowledge of healthcare compliance frameworks and regulations related to meetings and HCP engagement.
  • Experience implementing innovative meeting technologies and engagement platforms.

Additional Information

The base compensation range for this role is: $144,000.00-$198,000.00

Base salary offered is determined through an analytical approach utilizing a combination of factors including, but not limited to, relevant skills & experience, job location, and internal equity.

Regular employees are eligible to receive both short term and long-term incentives, including cash bonus and equity incentive opportunities, designed to reward recent achievements and recognize your future potential based on individual, business unit and company performance.
