Administrative Senior Assistant
Job Description
The Business Services Coordinator II is responsible for various administrative duties and ad-hoc projects across interpersonal functional areas.
• Support the processing of weekly payroll including but not limited to the tracking of time and attendance, reporting commissions, and other related payroll in accordance with company policy and our on-site collective bargaining agreement(s).
• Count, balance and prepare daily deposits for cash collections and prepare change orders. Maintain cash control, safeguard money, ensure accurate record-keeping and adhere to and enforce money handling procedures and policies. Report issues and discrepancies to management immediately.
• Accurately match and code invoices for payment and process accounts payable to ensure timely payment of invoices and reimbursements. This includes following all internal control processes for invoices such as obtaining approval on all payables, allocating costs, preparing invoices, and reconciling vendor statements monthly.
• Support the on boarding of new hires.
• Assist in monthly closings.
• Assist with annual audits.
• Data Entry.
• Support the daily office functions by ordering & stocking supplies, stocking & maintaining the breakroom, filing, printing, and maintaining office memos and informative postings.
• Based on extensive knowledge and experience, provide guidance to other employees to tackle problems, answer questions, and research issues that may arise within the administrative function.
• Coordinate and lead special projects as needed.

Qualifications
• 3-5 years of related work experience preferred.
• High School Diploma required.
• Associate?s degree in a related field preferred.
• MS Office Experience with highly proficient to advanced Excel knowledge required.
• Excellent customer service and administrative skills.
• Ability to develop and maintain a positive working relationship with others.
• Detail oriented, ability to multi-task, with strong interpersonal skills.
