The Facilities & Workplace Services Specialist plays a crucial part in ensuring the smooth operation of the office on a day-to-day basis by combining administrative and facilities management duties. Responsibilities include addressing building maintenance concerns, troubleshooting issues, performing minor repairs using practical skills, assisting with reception coverage, and supporting janitorial tasks to maintain a clean and organized environment. A strong customer service orientation is essential, as you'll frequently interact with employees, executives, visitors, and vendors.

Your impact 
  • Proactively identify and address maintenance issues as they arise, ensuring a safe and functional workplace.
  • Perform light building repairs (e.g., replacing light bulbs, hanging artwork, assembling furniture) and escalate larger issues to the appropriate vendors when needed.
  • Interface with Facility Vendors (plumbers, electricians, HVAC, and others).
  • Order and maintain inventory of facilities-related supplies to ensure smooth day-to-day operations.
  • Assist with office moves and room reconfigurations.
  • Support meeting setups and other in-office events to ensure space readiness and functionality.
  • Manage and respond to requests through our ticketing system in a timely and professional manner.
  • Perform routine suite inspections to identify potential areas for improvement or maintenance.
  • Handle general administrative duties, including ticket management, processing parking validations, and supporting day-to-day office needs.
  • Assist with office tasks such as kitchen restocking, reception coverage, and maintaining an organized, functional office environment and meeting spaces.
  • Serve as a primary point of contact for facilities-related inquiries, helping to maintain a high standard of workplace experience.




Qualifications 
  • 2-3 years of experience in a Facilities/Maintenance/Operations Role, with a strong emphasis on customer service and problem-solving.
  • Previous experience in workplace facility management and/or hands-on skills with general facility maintenance tasks (e.g. HVAC, plumbing, basic repairs).
  • Proficiency with Google Workspace (Gmail, Sheets, Docs, Calendar, Drive) and MS Office.
  • Bilingual Preferred, but not required.

 

Must have
  • Active duties requiring walking, standing, climbing, reaching, bending, crouching, crawling 30-60% of each day.
  • Strong verbal communication skills with the ability to clearly and effectively convey information.
  • Proven ability to manage complex calendars, including coordination of meetings with multiple participants and shifting priorities.

Compensation & Benefits
The compensation that we reasonably expect to pay for this role is: $23.50 - $28.80 per hour [base pay / OTE]. The actual compensation for this role will be determined by a variety of factors, including but not limited to the candidate’s skills, education, experience, and internal equity.

Please note that compensation is just one aspect of a comprehensive Total Rewards package. The compensation range listed here does not include additional benefits or any discretionary bonuses you may be eligible for based on your role and/or employment type.
