The Administrator I, Landlord Services is responsible for ensuring all ADUSA leased locations, consisting of approximately 1800+ locations are efficiently and economically maintained as pursuant to the guidelines of the Lease. This role will follow up on all landlord approvals, payment of expenditures for emergency maintenance issues, and assist in researching bill backs generated to reclaim Tenant expenses for Landlord responsible issues.

Duties and Responsibilities:
- Analyze Landlord maintenance and repair issues for all banners according to operational procedures and lease requirements in a timely manner.
- Analyze and prioritize emergency situations daily.
- Provide Landlords with proper notice of maintenance issues and follows up until completion.
- Provide legal notice of default to Landlords, Lenders and Property Managers for Landlord responsible issues not addressed by Landlord as required by the Lease.
- Confirm completion with store managers and/or maintenance techs prior to closing each work order.
- Reviews Lease language to determine responsible party, previous work orders to support Tenant maintenance requests to Landlords and to validate notice of default to Landlords. Document information in Maintenance Software System for future occurrences.
- Partner with Legal Department in the event the Tenant or Landlord decides to seek legal assistance on escalated repair requests.
- Enforce self-help per the Lease when necessary, consisting of sending out certified first and second notices and default letters to Landlords who refuse repair obligations. May consist of additional notices sent to Landlord's lending institution per Subordination and Non-Disturbance Attornment agreements.
- Obtain bids and award contracts to cure default or address emergency issues. Generate scopes of work, obtain and review quotes to have work completed if Landlord fails to cure the default.
- Assists Landlords with request for Tenant to complete maintenance issues.
- Research and process customer complaints relative to Landlord maintenance.
- Enter work orders and addresses Landlord responsible issues related to store renewals and Brand locations, i.e. additional attention to landscaping, pavement, exterior building, lighting upgrades and re-lamps.
- Research and provide Real Estate with the current conditions of Landlord responsible issues in response to locations requiring an Estoppel for the Landlord to sell or refinance a property.
- Research and enter work orders to support requests for Landlord approval to make changes to the property. Document request and submits for Landlords signature to approve changes. Follows up and provide additional information requested by Landlords.
- Research store site plans, county GIS systems and Google Maps to determine metes and bounds, legal descriptions, ingress/egress and utility easements.
- Partner with Engineering to determine documents needed to support current conditions at specific locations and to identify previous work completed by Tenant, establishing responsibilities.
- Partner with Construction to determine work completed by Tenant vs. work completed by Landlords to establish responsibilities.
- Partner with the Energy Department on lighting upgrades at leased locations, including the negotiation of payment for upgrade costs
- Partner with Operations on entering strategy remodel work orders and negotiate with the Landlords on freshening up the leased centers before re-grand openings.
- Partner with Real Estate on capital improvements noted in Lease Modification Agreements. Enter work orders, track date deadlines, review scopes of work and confirm completion.

Qualifications:
- Associate Degree in Business, Real Estate, Legal or 3+ years' experience in Real Estate, Facilities Maintenance, or Legal environment
- 1 to 3 years general office experience
- 1+ years' retail experience
- Excellent written and verbal communication and interpersonal skills.
- Ability to comprehend Lease language, terminology and documentation
- Strong customer service skills
- Proficient in Microsoft Office including Word, Excel and Outlook.
- Understanding of the commercial real estate industry.
- Knowledge of property and building maintenance and repairs, contract bidding and negotiations.
- Working knowledge of the CMMS and Real Estate record retention applications
