Project Specialist II

Yamaha Motor Finance - US has an opening for a detail-oriented Project Specialist II. This position is responsible for providing administrative support to ensure effective project management Additional responsibilities include coordinating project activities, maintaining documentation, and communicating with team members and stakeholders to ensure project goals are achieved. The ideal candidate will have ability to work independently and with teams and be able to discern when to be a decision-influencer and decision-
maker.
What You'll Be Doing:
- Project Coordination: Assist in the planning, execution, and completion of projects. Coordinate project schedules, resources, and activities. Track project progress and report on key metrics.
- Documentation Management: Maintain and organize project documentation, including project plans, schedules, and reports. Ensure accurate and up-to-date records of project activities.
- Departmental Administrative Tasks: Schedule and organize project meetings. Handle general administrative tasks to support the project and department.
- Communication: Facilitate communication between team members, project stakeholders, and other relevant parties. Distribute project-related information to team members as needed. Document and communicate meeting minutes and action items.
- Team Support: Provide administrative support to project teams. Assist in the onboarding of new team members. Coordinate training sessions and workshops as required.
- Budget Monitoring: Assist in tracking project expenses against the budget. Report on budgetary status and assist in financial management.
- Risk Management: Identify potential risks to project success and communicate them to the project manager. Assist in developing and implementing risk mitigation strategies.
- Quality Assurance: Ensure project deliverables meet quality standards. Assist in conducting quality assurance checks.
- Other duties as assigned.
Qualifications:
- Bachelor's degree or equivalent education years Proven experience in project administration or coordination.
- 2 years of experience in business administration, project management, or a related field (or equivalent work experience).
- Proficient in project management tools and software and MS Office suite
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Attention to detail and problem-solving abilities.
- Ability to travel domestically and internationally.
