We are looking for a motivated and detail-oriented intern to join our Professional Services team. This is an excellent opportunity to gain hands-on experience in operations, procurement, and vendor management within a fast-paced professional services environment. The intern will report directly to the Professional Services Operations Manager and play a key supporting role in keeping our subcontracting processes running smoothly and efficiently. You will also be responsible to:
Subcontract Request Intake
- Serve as the first point of contact for incoming subcontracting contract requests.
- Review the statement of works and log all requests to ensure completeness and accuracy before routing for review
- Coordinate and drive the internal approval workflow for subcontracting requests using Levelpath and Coupa.
- Monitor approval status, follow up with stakeholders as needed, and escalate blockers to the Operations Manager.
- Ensure all documentation and compliance requirements are met prior to approval submission.
- Manage the end-to-end onboarding process for new subcontractors, including collection of required documentation.
- Coordinate with Business Technology to provision appropriate system access for onboarded subcontractors.
- Ensure onboarding checklists are completed and that subcontractors are set up for success from day one
- Communicate with HR on changes in partner employment status, including extensions and early terminations
- Liaise with partner Point of Contacts to confirm that all timecards have been submitted for month-end billing deadlines
- Perform reconciliation of purchase orders (POs) at the close of each month to ensure accuracy between committed spend and actuals.
- Identify and flag discrepancies for resolution in coordination with Finance and relevant team members.
- Maintain organized records of PO activity to support audits and reporting.
Qualifications / Experience / Technical Skills
- Currently pursuing a degree in Business Administration, Operations, Finance, or a related field.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); familiarity with procurement or ERP tools (e.g., Coupa, SAP, or similar) is a plus.
- Strong organizational skills with high attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and deadlines in a dynamic environment.
- A proactive, team-oriented mindset with a willingness to learn.
- Practical experience in procurement, vendor management, and professional services operations.
- Exposure to enterprise procurement tools, including Levelpath and Coupa.
