The Logistics Specialist supports the day‑to‑day execution of the FSFE operational model and ensures smooth coordination of documentation, shipment visibility, and compliance activities. This role is responsible for managing key operational tasks such as compiling FSFE documentation, preparing customs filing packages, tracking inbound and outbound shipments, supporting audits, and creating deliveries for warehouse execution. Working closely with internal teams, contract manufacturers, logistics partners, and the U.S. Trade Operations team, the Specialist ensures operational accuracy, compliance readiness, and timely flow of information. This position is ideal for a junior professional looking to develop hands‑on experience in logistics operations, trade compliance, and global supply chain processes.

Responsibilities

  • Coordinate end‑to‑end FSFE documentation across CMs, SG Operations, Finance, and Schenker SG to compile, validate, and consolidate all required documents for each shipment in preparation for U.S. Customs filing.
  • Prepare and maintain complete filing packages for submission to U.S. CBP, ensure accurate linkage of all transactional records, and uphold robust record‑keeping standards to support compliance and audit readiness.
  • Perform ongoing compliance checks to ensure FSFE processes meet US CBP requirements, proactively identify discrepancies, and support responses to customs inquiries including CF28 requests.
  • Serve as the primary point of contact for Trade Operations (Franklin), ensuring seamless communication, timely data exchange, and alignment on FSFE operational requirements across time zones.
  • Monitor and track all inbound and outbound shipments, ensuring timely status updates, identifying delays or exceptions, and coordinating with forwarders, warehouses, and internal teams to resolve issues proactively.
  • Manage inbound manifests and maintain system shipping notification dock dates in ensuring visibility of product availability
  • Lead and manage all audit‑related requests, coordinating closely with warehouses, forwarders, and internal teams to retrieve required documents, ensure complete and timely submissions, and maintain full audit‑ready documentation for Customs and internal compliance reviews.
  • Support order fulfillment activities by creating deliveries for the warehouse in a timely and accurate manner, ensuring smooth handover for picking, packing, and shipment execution.
  • Readily adapt to changing requirements or work assignments

Qualifications

  • Diploma or Bachelor's degree in Supply Chain, Logistics, Business, or related disciplines
  • 1-2 years of working experience in logistics operations, freight forwarding, warehouse coordination, or documentation management (fresh graduates with strong aptitude will be considered)
  • Basic understanding of shipment processes (inbound/outbound), logistics documentation, or customs requirements is preferred
  • Exposure to ERP systems such as SAP is advantageous; experience in delivery creation or shipment transactions is a plus
  • Familiarity with 3PL operations, shipment tracking tools, or WMS environments is beneficial
  • Commitment expected during quarter ends
  • Strong attention to detail and organizational skills to manage multiple shipments and documentation flows
  • Good communication skills for coordinating with internal teams, forwarders, and warehouses
  • Ability to work independently, follow and improve established processes, develop new procedures where needed, and maintain compliance‑ready records
  • Proficiency in MS Office (Excel, Outlook, SharePoint); experience with Power BI, Power Query, or Smartsheet is a plus
  • Proactive, responsive, and comfortable working in a fast‑paced, deadline‑driven environment
