About the Team:
We are seeking a highly organized, proactive, and solutions-oriented Executive Assistant to support our SVP of Financial Planning & Analysis and broader senior leadership team. This role is responsible for complex calendar management, meeting coordination, travel arrangements, communications support, and ensuring the seamless execution of executive-level priorities. The ideal candidate is a polished communicator, an anticipatory problem-solver, and a trusted partner who brings structure, efficiency, and professionalism to a fast-paced environment.

Key Responsibilities
- Executive Calendar & Workflow Management
Oversee complex, dynamic calendars for the SVP and senior leadership, ensuring proactive prioritization, schedule optimization, and seamless preparation for meetings and deliverables. - Meeting Coordination & Logistics
Plan, organize, and facilitate meetings by preparing agendas, gathering materials, coordinating attendees, capturing key actions, and ensuring follow-through on commitments. - Communication & Correspondence Support
Draft, edit, and manage internal communications, presentations, and supporting materials that align with leadership's messaging and organizational goals. - Travel Planning & Expense Coordination
Arrange domestic and international travel, prepare detailed itineraries, and manage expense reports with accuracy and timeliness. - Event & Engagement Support
Coordinate onsite and offsite events, leadership sessions, employee engagement activities, and strategic communications meetings to ensure a polished, professional experience. - Project & Priority Management
Support key initiatives by tracking deadlines, monitoring progress, proactively surfacing risks, and ensuring alignment across FP&A and cross-functional partners. - Stakeholder & Relationship Management
Build strong partnerships with executives, internal teams, and external stakeholders to facilitate effective communication and operational alignment. - Operational Excellence & Process Improvement
Identify opportunities to streamline workflows, improve administrative efficiency, and support operational processes that enhance organizational performance. - Confidential Information & Executive-Level Judgment
Handle sensitive information with the highest level of discretion, professionalism, and ethical judgment. - Anticipatory Support & Strategic Foresight
Proactively anticipate the needs of the SVP and the FP&A organization, navigating a fast-paced environment with adaptability, curiosity, and a continuous improvement mindset.
About You:
You excel in a dynamic environment, manage competing priorities with ease, and maintain composure under pressure. You thrive on bringing clarity to complexity, connecting people and ideas, and enabling leaders to focus on strategic work. You're known for your judgment, discretion, and ability to see around corners.
Basic Qualifications:
- 5+ years of experience as an Executive Assistant or in a similar senior-level administrative support role
- Demonstrated experience managing multiple executive calendars, coordinating domestic/international travel, and processing expense reports
- Proven success supporting onsite and offsite meetings, events, and leadership engagements
- Strong verbal and written communication skills; able to convey information with clarity and professionalism
- Ability to maintain confidentiality while handling sensitive information with discretion
- Proficiency in Microsoft Office Suite and related productivity tools
- Highly organized, detail-oriented, and capable of connecting ideas and people seamlessly
Preferred Qualifications:
- Ability to build and maintain strong partnerships with executives and cross-functional teams; skilled at aligning work to strategic priorities
- A creative and forward-thinking mindset-anticipating needs weeks or months ahead and proactively addressing challenges
- Strong project management skills and the ability to adapt quickly to evolving business needs
- Tech-savvy, with the ability to learn new tools and systems quickly
- Experience providing logistical support for events, operational activities, and expense processes
- Demonstrated ability to motivate and inspire others, contributing to a positive, inclusive work culture
- Comfortable working in an innovative, fast-paced environment and embracing feedback for personal development
- Ability to work effectively in a hybrid-office schedule, with at least three days per week onsite

The pay range for this position is $71,900 to $103,350. The actual base pay offered may vary depending on skills, experience, job-related knowledge and work location. In addition to base pay, employees may be eligible to participate in a performance-based bonus plan and to receive restricted stock unit awards as part of total compensation.
