Job Description

Job Title: Lead Workplace Services Manager
Reports to: Sharad Parashar
Work Location: Noida

Job Description: A professional with 18 years of Experience with of technical services in hospitality and co-operate services.

Roles & Responsibilities:

A. NOIDA DAILY OPERATIONS

• Managing day to day technical operations supported by the onsite support team.
• Coordinating with the technical manpower agency in case there is a shortage or any operational issue with the technical support.
• Ensuring upkeep & smooth running of the all the technical Infrastructure & MEP services.
• Ensuring to have adequate stock of spares at site to manage the site operations.
• Taking feedback from employees / Managers, working with team on corrective action.
• Ensuring ppm services for all the technical equipment's must be executed as per the yearly ppm calendar.
• Ensuring timely renewals for all AMC contracts (HVAC, UPS, FAS/PA/, ELECTRICAL PANEL, CCTV, ACCESS CONTROL,RO SYSTEM ETC.) as per the site requirements.
• Maintaining all AMC and technical records at site in a systematic way.
• Monitoring all technical checklist as per the day-to-day operations.
• Preparing daily engineering dashboard reports to have more visibility on the overall technical operations.
• Planning and execution of major repair and maintenance activities on weekends to have smooth operations during office working hours.
• Co-ordination with the building management for all high side technical services.

• Co-ordination with the building management for any required work permits.
• Smooth vendor management at site with all required work permits.
• Managing daily complaints and escalations in a timely manner.
• Supporting stake holders for technical requirements to support their daily operations.
• Supporting on S2 access control operations.
• Supporting different teams during site events and program for technical assistance.
• Collaboration with Soft services -security team for BAU operations.
• Upkeeping the facilities as per latest industry standard and technology.
• Ensuring energy savings measures at site effectively.

B. BANGALORE & MUMBAI DAILY OPERATIONS

• Ensuring Cleanliness & hygiene is maintained in the office premises.
• Coordinating for manpower in case there is a shortage in the overall schedule with the deputed agency on site.
• Ensuring upkeep & smooth running of the all the technical Infrastructure/ MEP services/soft services.
• Managing daily complaints and escalations in a timely manner.
• Coordinating with vendor for weekly RTEO snacks arrangements for all staff.
• Ensuring timely renewals for all AMC contracts (HVAC, UPS, FAS/PA/, ELECTRICAL PANEL, CCTV, ACCESS CONTROL,RO SYSTEM ETC.) as per the site requirements.
• Maintaining all AMC and technical records at site in a systematic way.
• Co-ordination with the building management for all high side technical services. (Bangalore)
• Co-ordination with the building management for any required work permits. (Bangalore)
• Coordinating with HK on boarded agency for various manpower and site related issues.
• Ensuring monthly meetings with the Bangalore stack holders to have collective feedback and action on the same.
• Supporting Mumbai stack holders for any required support as per the day-to-day operations.
• Co-ordination with the building management for all high side technical services. (Mumbai)
• Co-ordination with the building management for any required work permits. (Mumbai)
• Supporting on S2 access control operations.
• Upkeeping the facilities as per latest industry standard and technology.
• Ensuring energy savings measures at site effectively.

C. Real Estate support

• Co-ordination with the concerned external teams & internal stack holders any lease renewals, CAM agreements, rent escalations and all the queries related to real estate for all India offices.
• Ensuring monthly meetings with all building management teams for operational, billing and day to day operational issues stakeholders.
• Supporting on office relocations and logistics.
• Assisting global real estate team for all queries related to India offices.

D. Budget & Financials

• Preparing facilities operational budgets for all India offices.
• Collaboration with all internal stack holders for their respective operational spend numbers.
• Preparing facilities capital budgets for all India offices.
• Ensuring efficient budget utilization for Opex and Capex spend.
• Assisting internal stack holder for their concerned purchase orders and requisitions.
• Assisting internal stack holders for any invoice related queries.
• Assisting internal auditors for any internal audit queries & Support.

E. Project Management

• Managing fit out, renovations, refurbishment projects as per the site requirements.
• Collaboration with internal stacks holders to complete the projects as per the timelines.
• Collaboration with PMC/Design and the concerned contractors in order to complete the projects as per the finalized BOQ, Brand standards & without compromising on the quality standard.
• Maintaining spend trackers for all projects spend.
• Maintaining necessary documentation for all fit out, renovations, refurbishment projects.
• Ensuring to add value engineering concepts while execution of projects.

Desired Traits, Qualification & Experience
• B. Tech Electrical Engineering.
• 3-year diploma in Electrical Engineering.
• Excellent presentation skills and well versed with business platforms like Oracle, service now, D365, S2, Envoy, I-Office etc.
• Great organizational and administrative skills.
• Ability to prioritize and multi-task.
• Proactive thinking.
• Good team player.
• Able to perform under pressure.
• Excellent verbal & written communication skills.
• Passionate about delivering consistent excellence.
