The Workplace & Engagement Assistant is a vital ambassador of our brand ensuring the seamless operation of daily office functions and blending operational excellence with a refined sense of style in creating a workplace experience that embodies the Tory Burch spirit. As the first point of contact for visitors, you represent the brand with professionalism and poise, maintaining a well-organized, welcoming workspace. A Day in the Life:
No two days are the same. You might be welcoming guests with warmth and professionalism, coordinating a team-building event, handling office logistics, or ensuring the workspace reflects the brand's elevated aesthetic. You'll be the go-to for everything from conference room bookings and vendor coordination to onboarding new hires and supporting internal events. Whether you're activating access cards or curating a wellness space, you'll be surrounded by a team that values excellence, creativity, and connection.
Key Responsibilities include:
General Office Administrative Support
- Supporting office operations, including greeting and assisting visitors, scheduling, supplies procurement, and workspace organization.
- Serving as the primary point of contact for internal teams as it relates to the space organizational tool (Eptura) remediation, conference room booking, wellness spaces and external vendors.
- Handling correspondence, emails, and phone calls in a professional manner.
- Maintaining office records, files, and documentation for easy accessibility.
- Coordinating Talent related engagement events, meetings and travel arrangements, as needed.
- Assisting in onboarding new employees, setting up new hire spaces, and coordinating with internal cross functional teams.
- Processing invoices, expenses, and assisting with basic bookkeeping tasks.
- Ensuring compliance with office policies and procedures.
- Following proper procedures with the building security to ensure safety as directed by Loss Prevention Manager.
- Anticipating needs and taking initiative to improve processes and experiences.
- Acting as key organizational partner during internal market + any related internal events
- Supporting leadership and other teams with administrative tasks as required.
Facilities Support:
- Activating and deactivating access cards - following employee life cycle processes to ensure compliance.
- Partnering with facilities team to ensure timely response to service ticket requests, escalating as needed.
- Partnering with facilities to ensure all workplace and engagement initiatives are adhered too and managed accordingly i.e restroom hygiene, kitchen maintenance, dairy program, office supplies etc.
- Acting as lead support for employee questions related to space planning, e.g., hotel desk booking, conference room management, wellness room access etc.
- Acting as lead for international team desk and office booking, facilitate and communicate availability and monitor usage.
Additional duties as assigned.
To Land This Role:
- 1+ year of experience in an administrative/receptionist role
- Proven experience in administrative or office coordination roles
- Strong proficiency in Microsoft Office Suite and organizational tools
- Familiarity with design and presentation software (PowerPoint, Canva, etc.)
- Ability to handle sensitive matters with discretion and care
- Exceptional organizational and time-management skills
- Strong verbal and written communication abilities
- Excellent interpersonal skills
- A proactive mindset and problem-solving skills
- Appreciation for design and a polished aesthetic
- This position typically requires working in an office setting with regular interaction with staff and clients.
- Occasional lifting of office supplies or documents may be required.
