Job Description:

This position is part of a key team that supports the AVPs and function ensuring we are operating in our most efficient way from a cost and time perspective.

The role's key responsibilities are to coordinate and provide extensive support for approximately 6 AVP Merchandise Directors (MDs) which would include diary management, meeting coordination arranging for necessary equipment and refreshments using the technology and resources available for both physical and virtual meetings, international travel booking, business reporting, expenses, any other ad hoc office duties, as well as supporting the Merchandising function on Travel, Events, Rotas and general admin.

Key Responsibilities

  • Work with MDs to ensure their diaries reflect each individuals' requirements and main priorities for the week, month, year
  • Act as point of contact and first filter for MDs and any internal enquiries, and requests of information
  • Arrange travel for Merch Directors and their teams (roughly 70 people) in the most cost-efficient way
  • Ensure Merchandise Directors are kept informed with any changes to their weekly itinerary & anticipate & accommodate to any requests needed, including travel, business meetings, performance reviews, strategy meetings and presentations
  • Provide ongoing data & reporting support for Merchandise Directors, running reports in a timely manner on a Monday to support the analysis of business
  • Support where necessary on circulation of information and reports when needed for meetings or trips when required
  • Collating and updating MDs individual department teams' movement calendars as needed recording holidays, future travel plans, birthday, etc
  • Assisting with organising team days/weeks/offsites for MDs and their teams
  • Organise and co-ordinate various Merchandising meetings and room bookings including supporting with Event organisation where required e.g. Townhalls
  • Provides administrative support on function wide projects
  • Supports the function with ensuring all relevant information is kept up to date eg org charts, email groups, phone lists
  • Supports on all of our training programs to ensure program timetables, room bookings and invites are up to date
  • Maintain the strictest of confidentiality when processing sensitive information and personal data
  • Organise and coordinate the MDs meetings including set up of VC and teams calls
  • Process Merch Director expenses at AVP discretion.
  • Attend events as needed to make notes, summarise, and follow up with outcomes of the meeting as needed
  • Process invoices on Oracle as needed
  • Support the MDs with general administration (post, photocopying, troubleshoot technology issues etc)
  • Manage circulation of key business reports and provide support in pulling key information reports as needed.

Key Skills, Knowledge & Experience

  • Experience of working as a PA, Office Manager, secretary, or similar administrative roles, with previous experience of diary management for individuals
  • Excellent interpersonal and communication skills, to act confidently and professionally when working with partners and stakeholders at all levels within the organisation
  • Able to self-manage daily tasks with several constantly changing priorities and multitask in a high volume & fast paced environment
  • High level of organisational skills
  • Ability to work under pressure while maintaining a calm, positive and professional demeanor
  • Excellent IT skills in order to be able to work with all IT systems that are required within the role especially Outlook, PowerPoint and Excel
  • High level of attention to detail
  • Flexible attitude and willingness to provide additional cover and support to the department during colleague absence and peaks in workload.
  • Able to use own initiative & work as part of a team
  • Good coordination and problem-solving skills
  • Proactive, efficient, and able to work to deadlines
  • Tactful, discreet, and able to maintain confidentiality to the highest level
