Seasonal Events Coordinator - Part Time (LA Times Studios)

The Seasonal Events Coordinator supports the planning, coordination, and execution of seasonal events by collaborating with Events, Programming, and Marketing teams to ensure operational efficiency and a high-quality attendee experience. This role is essential in delivering smooth, well-organized events that reflect the organization's standards of excellence.

Responsibilities:

  • Manage general event inquiries and the events inbox to ensure timely and accurate communication.
  • Support event programming and logistics, including panel coordination, scheduling, and on-site execution.
  • Assist with proofreading, copywriting, and quality review of event materials and promotional content.
  • Collaborate with the Marketing team to develop and distribute social posts, email announcements, invitations, and event collateral.
  • Maintain ticketing pages, manage RSVPs and guest lists, and support registration and attendee check-in.
  • Provide on-site event support, including attendee direction, troubleshooting, and customer service.
  • Coordinate event setup and breakdown and assist with author book mailings for the Festival of Books.
  • Collect and summarize attendee feedback and contribute to post-event analysis.
  • Other duties as assigned.

Requirements:

  • Current students, recent graduates, or early-career professionals-particularly those pursuing studies in Liberal Arts, English, Communications, or MFA programs.
  • Strong interest in and understanding of books, authors, and contemporary literary culture.
  • Exceptional writing, proofreading, and attention to detail.
  • Demonstrated organizational skills, including the ability to manage timelines, prioritize tasks, and handle multiple assignments simultaneously.
  • Ability to communicate clearly, professionally, and confidently with internal teams, authors, publicists, and external stakeholders.
  • Proficiency with Microsoft Office and Google Workspace, with the ability to learn new software, basic design tools, or event management platforms quickly.
  • Flexibility to work variable hours-including evenings and weekends-based on event needs.
  • Availability to work approximately 20 hours per week during standard business hours, with increased availability during peak event periods.

Preferred Qualifications:

  • Bachelor's degree in Liberal Arts, English, Communications, or an MFA is beneficial.
  • Experience in events, bookstores, publishing, or related literary or creative fields.
  • Prior experience supporting or coordinating live events, festivals, or similar programming.
