About the MassDOT Rail & Transit Division

The MassDOT Rail & Transit Division oversees the Commonwealth's passenger rail, freight rail, and Regional Transit Authorities (RTAs). The Division manages state-supported Amtrak services, capital investments, federal and state grant programs, transit operations outside Greater Boston, and partnerships with key stakeholders across New England.

Position Summary

The Massachusetts Department of Transportation is seeking a dedicated and detail-oriented individual to join our Rail & Transit Administration team. In this role, you will provide exceptional administrative coordination and support to the Rail & Transit staff. You will collaborate closely with senior staff to facilitate efficient communication, project management, administrative support, and the attainment of department goals. You will also assist in special projects, ensure the smooth flow of operations.

Duties and Responsibilities

  • Provides high-level administrative support and assistance to the Chief of Staff, and/or other assigned leadership staff including greeting visitors, scheduling, and preparing rooms for meetings, escorting guests.
  • Conduct research and synthesize information for executive briefings, presentations, and decision support
  • Support Division-wide initiatives including policy development, capital program delivery, and RTA oversight
  • Assist with tracking and reporting on high-priority projects and legislative initiatives
  • Draft memos, communications, and project summaries for internal and external audiences
  • Participate in stakeholder coordination with transit agencies, rail partners, local governments, and federal entities
  • Support agenda development, meeting logistics, project timelines, and follow-up actions
  • Analyze and improve internal workflows and performance tracking tools
  • Assist with maintaining program documentation and executive dashboards
  • Prepare and /or review official statements for MassDOT R&T and distribute incoming and outgoing correspondence.
  • Respond and compile necessary documentation for public information requests
  • Work independently in addressing complex tasks in a time-sensitive environment.
  • Assist in the procurement, contracting and budgeting process for the department to ensure that processes are conducted in compliance with applicable policies and procedures.
  • Perform other related duties as required.

Preferred Qualifications

  • Strong written and verbal communication skills
  • Demonstrated analytical and organizational capability
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office Suite; familiarity with data visualization or project management tools a plus
  • Interest in public transportation, infrastructure investment, government operations, and/or rail policy
