About the Job:
We are establishing a Greenfield manufacturing facility in Mexico as part of a strategic expansion, designed to operate as a flagship site aligned with Industry 4.0 principles, advanced automation, and digitalization. To support the successful delivery of this project, we are hiring a Project Assistant who will provide on-site administrative and project coordination support. This role will be critical during the design, construction, startup, and stabilization phases, ensuring effective coordination of project activities, documentation, communication, and day-to-day operations to enable timely and efficient project execution.
The Project Assistant provides on-site administrative and project support to the Program Director and the local project team. This role serves as a key support function, ensuring effective coordination of project activities, meetings, documentation, and office operations. The position requires strong organizational skills, the ability to manage multiple priorities, and a high level of professionalism in a fast-paced project environment.
Responsibilities
Provide administrative and operational support to the Project Senior Director and project team on site.
Coordinate project-related meetings, including preparing agendas, scheduling participants, arranging logistics, and ensuring follow-up on action items.
Attend meetings as required to record discussions, compile, transcribe, and distribute meeting minutes.
Support project documentation by preparing reports, presentations, tracking tools, and correspondence.
Conduct research, compile data, and prepare briefing materials for review and presentation by project leadership.
Assist with monitoring project timelines, deliverables, and pending actions to support project execution.
Manage general office duties such as ordering supplies, maintaining administrative and records management systems, and supporting basic budget or expense tracking activities.

Coordinate office services in support of the project team, including records management, documentation organization, and office logistics.
Make travel arrangements for project leadership and team members, as well as support logistics for site visits and events.
Serve as a point of contact for internal and external stakeholders related to project and administrative activities.
Maintain organized digital and physical filing systems to ensure accessibility and compliance with internal standards.
Handle sensitive and confidential information with discretion and professionalism.
Perform additional administrative or project-related tasks as required to support successful project delivery.
Qualifications & Requirements
Bachelor's degree in Business Administration, Engineering, Communications, or a related field preferred.
+8 years of experience in an administrative, project coordination, or project assistant role.
Fluent in English & Spanish.
Desirable Technical
SAP-S4 knowledge and Digital platforms
Computer Applications
Database Management and Data Collections.
Executive Support, Microsoft Office, Microsoft SharePoint, Office Administration, Processing Expense Reports, Purchase Orders, Travels and Events coordination.
Project Management tools
Strong organizational and time-management skills, with the ability to prioritize multiple tasks and meet deadlines.
Strong written and verbal communication skills.
High attention to detail with strong problem-solving abilities.
Ability to work effectively in a fast-paced, project-driven environment.
Professional demeanor with a high level of discretion, integrity, and interpersonal skills.
Proactive, adaptable, and willing to support evolving project needs.
Location
The primary work location is Tlaxcala, Mexico, with minimal travel (up to 20% under normal conditions).
Occasional visits to concentrate plants, bottling operations, or training centers may be required.
