Compensation: $28.03 - $32.98/Hour

FLSA: Non-Exempt

Location: Hybrid – 3 days/week in office

All candidates must be within commutable distance of SEO’s offices at 55 Exchange Place, New York, NY 10005, upon hire.

POSITION OVERVIEW

The Executive Assistant provides high-level administrative support to Executive Committee (EC) members (i.e., CEO and their direct reports) by conducting research, preparing ad-hoc reports, handling information requests and performing clerical functions.

  • Serve as the liaison for the Manager of Executive Office to various departments across SEO.
  • Provide administrative support as required, including but not limited to, maintaining calendars, greeting visitors, coordinating travel arrangements, preparing and submitting expense reports, and organizing communications.
  • Schedule, coordinate, and prepare for Executive and Board meetings and other recurring or ad-hoc meetings.
  • Maintain files, records, and correspondence for various meetings.
  • Research, collect and/or analyze data to prepare documents for EC members’ review and presentation.
  • Collaborate with Executive Office team members in daily work tasks, including coverage and problem solving.
  • Assist in preparing documentation for fiscal and regulatory authorities, as needed.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree in business administration preferred.
  • 2-3 years of experience in mid-level administration, business, management, or related field.
  • Direct experience working within a nonprofit organization or early-stage start-up environment is strongly preferred.

  • Excellent proficiency in MS Office (Excel, Outlook, Word, PowerPoint).
  • Ability to work effectively with all levels of management.
  • Excellent organization and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to work in a fast-paced, high-pressure environment.
  • A self-starter able to take initiative, think creatively, and work independently with a driven and motivated work ethic.
  • Attention to detail, accuracy, and follow-through skills are of the highest importance.
  • Ability to multitask, prioritize projects, and expertly problem solve.
  • Ability to work with confidential and sensitive information in a discreet manner.
