Executive Assistant

Position Overview:
We are seeking a highly skilled and motivated Executive Assistant to provide comprehensive support for our leadership team and department. The successful candidate must demonstrate excellent administrative and teamwork skills, resourcefulness, an ability to proactively identify opportunities to simplify and streamline senior leaderships workload, and the ability to work effectively within a matrixed organization. This role involves supporting executives with planning, scheduling, and travel coordination, while also contributing to vendor relationships and organizing large in-person or virtual meetings. You'll play a key role in ensuring operational efficiency and team connectivity across various functions.
Key Responsibilities:
- Manage and maintain Outlook calendars, coordinating with other administrative assistants to resolve scheduling conflicts and prioritize meetings.
- Assist with planning for upcoming milestones and meetings, ensuring teams are prepared with pre-meeting coordination.
- Provide meeting support: prepare agendas, take notes, distribute minutes and presentations, and track action items.
- Make business travel arrangements and manage detailed travel itineraries.
- Plan and coordinate quarterly strategic meetings and team-building events, both onsite and offsite, including preparation of materials.
- Manage departmental purchasing, generate expense reports, and ensure timely payment of invoices.
- Coordinate with HR to process new hire paperwork and onboarding tasks.
- Compile and organize feedback for performance reviews.
- Serve as onsite support in collaboration with other administrative assistants and Facilities/Building Management for space planning, event setup, and catering.
- Facilitate team-wide communication by managing email aliases, Slack channels, and permissions.

- Minimum of 10 years of experience in administrative support, including experience supporting senior management or working in a service-oriented role.
- Excellent time management skills with the ability to multitask and prioritize effectively.
- Strong attention to detail and problem-solving abilities.
- Outstanding written and verbal communication skills.
- Proven organizational and planning capabilities.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and modern collaboration tools such as Microsoft Teams.
- Ability to work effectively within a matrixed organization.
- A proactive mindset with a desire to contribute to organizational improvement and change.
- Willingness to travel occasionally, based on business needs.
