What will you do?

As a Welcome Service Associate, you will play a key role in creating a seamless and professional experience for Schneider Electric visitors. You will be responsible for coordinating business visits, hospitality services, accommodation arrangements, and related administrative activities, ensuring every guest receives a high-quality experience throughout their visit.
Key Responsibilities

Corporate Visits & Hospitality Management

• Partner with internal stakeholders to organize and coordinate business visits.
• Plan and manage hotel accommodations and hospitality services according to visitor requirements.
• Arrange hotel and restaurant reservations in compliance with internal procedures.
• Coordinate additional activities and events for guests based on visit agendas.
• Review invoices and validate services provided by suppliers.
• Prepare invitation letters for visitors when required.

Administrative & Operational Support

• Create SAP purchase orders for all costs related to visitor management activities.
• Contribute to initiatives focused on improving the visitor experience.
• Participate in supplier evaluation and performance review processes.
• Prepare reports related to business visits and hospitality activities.
• Create, update, and maintain procedures and guidelines related to visitor management.

What qualifications will make you successful?

• Higher education degree, preferably in Tourism, Hospitality Management, Event Management, or a related field.
• Minimum 2 years of experience in event coordination, corporate travel management, visitor management, hospitality services, administrative support, or similar roles.
• Strong organizational and planning skills.
• Excellent communication and interpersonal skills.
• Ability to work independently and manage multiple priorities.
• Strong attention to detail and reporting accuracy.
• Experience working with suppliers such as hotels, restaurants, and event service providers.
• Professional, proactive, customer-focused, and welcoming approach.
• Fluent English, both written and spoken.
• SAP knowledge is considered an advantage.
