Job Summary

This position is responsible for managing the spare-parts order backlog from new orders created, to SAP release, warehouse handoff and shipment follow-up. The role reviews on-time and past-due demand, establishes and communicates priorities, monitors order progress, and maintains visibility with Customer Service, Supply Chain and Warehouse operations, and other support functions. The position is accountable for supporting On-Time Delivery (OTD) and Back Order Value (BOV) performance within the assigned spareparts scope (IG&OG), which may include GCR_SHIP_MISC, ship shorts, and standard spare parts. As a Tech III employee, this position must demonstrate strong SAP and data-analysis capability, take ownership of routine order exceptions, and remain flexible to perform other warehouse activities assigned within the Tech III level or below. The role is also expected to support structured on-hands training for newly hired or transferred employees after demonstrating qualifications in the applicable process.
Key Responsibilities

  • Manage the assigned spare-parts scope as the primary function of the role, including GCR_SHIP_MISC, ship shorts, and standard spare parts, as directed by warehouse leadership.
  • Run and review the applicable open-order report to identify total order lines, on-time demand, past-due demand, backlog aging, and orders requiring immediate action - Order Status Report & Symmetry.
  • Release clear to ship spare-parts orders accurately and on time in SAP according to established schedules, priorities, and process requirements.
  • Validate order information before release, including material number, quantity, requested date, ship-to information, delivery or order status, availability, and any applicable holds or exceptions.
  • Monitor CGI and LGI status, shipping progress, open outbound deliveries, symmetry workflows and other applicable system indicators to identify orders at risk of missing the required shipment date.
  • Establish and communicate clear daily priorities to warehouse kitting and shipping teams, including past-due orders, customer-critical demand, ship shorts, and other leadership-designated priorities.
  • Maintain close communication with Customer Service to understand customer requirements, priority changes, expedite requests, and order constraints; communicate realistic status and required support.
  • Coordinate with warehouse, planning, fabrication, production and other support functions to resolve material availability, order, delivery, documentation, or shipment issues.
  • Investigate routine order exceptions using SAP, open-order reports, warehouse status, and available transaction history before escalating.
  • Escalate material shortages, blocked orders, incorrect data (storage location accuracy 5000 vs 5001, Correct consumption from 2000, 2005, 2006, and 2007 to prevent ZMFC errors, Shipping-point validation: USL1 for Plant 1 and USO1 for Plant 2, missing transactions, overdue warehouse actions, documentation issues, and shipment risks promptly with the order, material, impact, checks completed, and support required.
  • Maintain ownership of assigned orders until shipment, confirmed handoff, or documented escalation; follow up on aging actions and keep affected teams informed of changes or delays.
  • Prepare or print required order and shipping paperwork when needed, verifying that documents match the applicable order and material information.
  • Provide accurate daily and weekly reporting on OTD, BOV, backlog, past-due orders, at-risk shipments, completed actions, and unresolved constraints.
  • Analyze KPI and order data using Excel or approved reporting tools to identify trends, recurring causes of past-due orders, process gaps, and improvement opportunities.
  • Conduct on hands training for newly hired or transferred employees using approved standard work; demonstrate SAP and reporting tasks, observe practice, correct inaccurate execution, and communicate qualification gaps to leadership.
  • Maintain cross-training and perform other Tech III-or-below warehouse operations as assigned for staffing coverage, workload, or business needs, including kitting, picking, replenishment, receiving, put-away, staging, shipping support, inventory activities, and related SAP or scanner transactions when trained and authorized.
  • Resolve routine order-release, documentation, and status exceptions independently by following standard work and validating available SAP, reporting, and warehouse information.
  • Escalate immediately when an order cannot be released or shipped as required, a shortage or system discrepancy cannot be resolved through approved checks, or the condition creates risk to customer service, inventory accuracy, quality, or on-time delivery.

  • 1-3 years of experience in warehouse operations, inventory, kitting, spare parts, order fulfillment, logistics, or a related manufacturing environment is preferred.
  • Demonstrated proficiency using SAP to review, release, monitor, and research orders, deliveries, material availability, and applicable transaction history.
  • Strong computer skills, including Microsoft Excel formulas, pivot tables, filtering, sorting, and manipulation of operational data within spreadsheets.
  • Troubleshooting is a must. Must be proficient in SAP transactions such as VA03, VL03N, VL33N, VL06, CO04N and COOIS, understand production-order processes and backflush, and effectively investigate and resolve warehouse, material, and shipping issues.
  • Working knowledge of SAP EWM and the Warehouse Monitor, including how to review warehouse tasks, queues, stock and bin information, order or delivery status, exceptions, and system errors.
  • Understand OTD, BOV, backlog, past-due status, order aging, and the operational actions that influence these KPIs.
  • Ability to read and interpret material numbers, quantities, dates, order and delivery status, shipping information, and system messages accurately.
  • Strong analytical and problem-solving skills, including the ability to identify exceptions, investigate likely causes, and communicate findings clearly.
  • Strong written and verbal communication skills and the ability to coordinate respectfully with Customer Service, warehouse teams, and support functions.
  • Demonstrated attention to detail, data accuracy, follow-through, and ownership of assigned orders and actions.
  • Ability to learn new systems and processes quickly and apply approved standard work consistently.
Overtime Expectations

All warehouse employees are expected to support overtime around physical inventory dates to complete pre-inventory activities and ensure the warehouse is fully prepared. Overtime may be scheduled during weekdays (after the shift end) and weekends based on operational needs and inventory progress. Employees are expected to plan accordingly and work the overtime communicated by warehouse leadership.

For this U.S. based position, the expected pay range is USD 17.00 to 25.50 per hour. This pay range includes base pay and short-term incentives. In addition, this position is eligible for overtime pay and may also include premium pay or differentials, depending on location. The compensation range for this full-time position applies to candidates located within the United States. Our pay ranges are determined by reviewing roles of similar responsibility and level. Within the pay range, individual pay is determined by several factors including performance, knowledge, job-related skills, experience, and relevant education or training.
