About the Role:

This position is responsible for tendering projects for the Digital Energy division of Schneider Electric Japan Holdings Ltd. The role ensures accurate and timely delivery of tender documents, in compliance with internal policies as well as local regulations.

What will you do?

• Lead end-to-end tender, bid, and proposal activities for assigned projects, ensuring accurate, timely, and compliant submissions in line with internal policies and customer requirements.

• Analyze customer RFQs/RFPs to clearly understand technical scope, commercial conditions, contractual requirements, and compliance criteria, and translate them into structured proposal strategies.

• Coordinate cross-functional teams including Sales, Project Management, Engineering, Finance, Legal, and Procurement to collect technical, commercial, and cost inputs for proposals.

• Prepare and consolidate technical and commercial proposals, including cost estimations, bills of materials, pricing structures, assumptions, exclusions, and risk considerations.

• Support Account Managers and Sales Teams during technical and commercial clarification phases with customers, addressing questions, revisions, and negotiation points related to the proposal.

• Perform technical and commercial risk analysis during the proposal phase, highlighting key risks and recommending mitigation actions for management review.

• Review and manage contractual and commercial terms, including payment terms, logistics, tax, export control, and supply chain considerations, in collaboration with internal stakeholders.

• Ensure proposals are aligned with industry standards, internal governance, and local regulations, and obtain required internal approvals prior to submission.

• Maintain accurate and well-organized bid documentation using approved document management and collaboration tools.

• Support continuous improvement of tendering processes, templates, and cost models, and share lessons learned to enhance future bid success.

What skills and capabilities will make you successful?

• Strong ability to interpret and analyze RFQs/RFPs, including technical requirements, commercial conditions, and contractual obligations, and translate them into structured proposal strategies.

• Solid experience in cost estimation and pricing, including preparation of Bills of Materials (BOM), compilation of vendor/partner/subcontractor costs, and margin setting aligned with business objectives.

• Proven capability in proposal preparation, working closely with Sales and Engineering teams to develop accurate, compliant, and competitive technical and commercial proposals.

• Ability to effectively support Account Managers during technical and commercial clarification phases with customers, providing clear, timely, and well-structured responses.

• Fundamental understanding of technical and commercial risk identification, with the ability to highlight key risks, assumptions, and exclusions during the proposal phase.

• Basic yet practical knowledge of contracts and procurement, including commercial terms related to finance, legal, tax, logistics, export control, and supply chain considerations.

• Industry experience in Data Center, Life Science, or Semiconductor projects, with the ability to read and interpret:

o Control schematics

o Single Line Diagrams (SLD)

o System architectures and designs

• Capability in BMS (Building Management System) and/or EPMS (Electrical Power Monitoring System) interpretation, including:

o Preparation of I/O points lists

o Development of device lists required for accurate cost estimation and tender preparation

• Ability to prepare accurate material take-offs based on technical drawings, schematics, and system documentation.

• Proficiency in Microsoft Office tools, particularly:

o Excel for cost estimation, I/O lists, device lists, and pricing models

o Word for proposal documentation

o PowerPoint for internal and customer presentations

• Practical experience using document management and collaboration platforms, such as SharePoint, Teams, and OneDrive, to manage proposal documentation and cross-functional workflows.

• A structured, detail-oriented, and proactive mindset, with the ability to manage multiple bid activities under tight deadlines while ensuring quality and compliance.

Who will you report to?

This position reports to the Digital Energy Application Centre Director and is part of a team of over twenty members, in Schneider Electric Japan Holdings Ltd. The role involves close collaboration with internal and external stakeholders including the China East Asia One Solutions organization, Local & Zone Finance, Tax, Treasury, and Business Teams.

What qualifications will make you successful for this role?

• Bachelor's degree in Engineering, Electrical Engineering, Automation, Control Systems, or a related technical discipline. (A degree in Business or equivalent experience combined with strong technical exposure may also be considered.)

• 5+ years of professional experience in tendering, bid management, proposal engineering, or commercial engineering roles within engineering-driven industries

• Business-level English proficiency (TOEIC 700 or equivalent) required for reading English RFQs and engaging with overseas customers and global stakeholders.

• Business-level Japanese proficiency (JLPT N2 or equivalent) required for reading Japanese RFQs and communicating with local customers, partners, and internal teams.
