HR Operations Specialist Baltics (m/f/d)

For our HR Operations Team, we are looking for an HR Operations Specialist to join us in Riga. In this role, you will play a vital part in supporting employees and managers across the Baltics and Nordics, acting as a first point of contact for HR-related questions and operational support.
Working closely with local HR representatives, you will support Schneider Electric employees across the full employee lifecycle, from onboarding to offboarding. You will also contribute to improving HR Operations processes, maintaining high data quality and ensuring consistent, professional service delivery.
This is a hybrid role, with three days per week from the office.
Your Tasks
- Provide front-line HR support to plant and office employees and managers on operational HR topics across the full employee lifecycle, ensuring clear communication, timely follow-up and consistent service delivery.
- Prepare, update and maintain HR documentation, with a strong focus on accuracy, consistency and compliance with internal standards.
- Contribute to presentations, materials and basic reporting for HR initiatives and projects.
- Coordinate onboarding preparations, including materials, checklists, system access and welcome communication.
- Track onboarding progress, follow up on pending actions and proactively resolve or escalate issues when needed.
- Maintain and verify employee information in HR systems, ensuring accuracy, confidentiality, correct access rights and compliance with GDPR and internal policies.
- Support ongoing payroll-related workflows by validating HR inputs, such as employee changes, absences and allowances.
- Contribute to payroll activities when needed, ensuring data quality and adherence to monthly timelines.
- Support process mapping, documentation and continuous improvement activities.
- Identify opportunities to simplify, standardize and improve HR Operations processes, including light automation initiatives where relevant.
Your Profile
- You are currently pursuing or hold a bachelor's or master's degree in human resources, Business Administration or a related field.
- Experience in HR Operations delivery, employee lifecycle administration or payroll-related processes would be a strong advantage.
- You are fluent in Latvian and English, both written and spoken. Knowledge of other Baltic or Nordic languages would be considered a plus.
- You are confident working with modern HR tools, systems and spreadsheets, and you understand why accurate employee data, confidentiality and correct access rights matter.
- You are comfortable working with structured processes, SOPs and checklists, while also being curious and open to improving ways of working.
- You have strong communication skills and can collaborate well with HR Business Partners, managers, employees and peers across countries.
