Deputy Manager - Project Administration

Project Co-ordination

  • Provide endtoend administrative support across the project lifecycle
  • Assist Project Associates with scheduling, documentation, and task followup


Documentation & Record Management
  • Maintain accurate and compliant project documentation in approved repositories such as SharePoint, DMS, Aconex (etc) and ensure consistent application of PMO standards for document control


Reporting & Analytics
  • Prepare timely and accurate project reports including STO status updates, committed cost summaries, and billing/invoicing reports
  • Run and distribute operational reports including billing backlog, orders without WBS, sales order items without PO, Concur error reports and SGV project reports
  • Run version control program on project changes as requested. • Document control support for project managers (SharePoint DMS or Aconex).


Stakeholder & Communication Support
  • Liaise with internal teams to resolve issues and help ensure seamless project execution
  • Coordinate operational needs such as Field Service Representative support


General
  • Create new projects and required structures in SAP
  • Generate and validate project invoices and upload to customer portals where applicable
  • Confirm customer acceptance of invoices; Prepare and manage all delivery documentation
  • Create deliveries at close (end) of project and complete all readinesstoclose activities
  • Request project closure from the Project Controller and execute version control processes on project changes (as requested)


Competencies and skills

  • Strong communication skills with a customer service orientation
  • Advanced proficiency in MS Excel with knowledge of ERP systems (SAP preferred)
  • Strong attention to detail with excellent organisational skills
  • Ability to collaborate with multiple stakeholders with a curious and questioning mindset
  • Ability to operate and work with remote and international teams
  • Proficient in English (written and spoken)
