The Manager of Space Planning will primarily represent the JAPAC region and is responsible for managing all occupancy planning and workplace strategy at the building level within the given portfolio. This person is a skilled relationship builder and problem solver with excellent communication skills coupled with strong data analytical skills. This person has the ability to execute tactically while seeing the big picture. This role will partner closely with Workplace Services, Strategy, Projects, Design and our Business Partner and teams to align on space strategies and support the execution of workplace initiatives including FDOBs, restacks, migrations and consolidations. Experience with space planning in flexible workplace environments is required. The ideal candidate will demonstrate exemplary critical thinking, communication and storytelling skills. Proven success to operate in a dynamic environment that moves with pace and the ability to work through ambiguity is highly desired. This role reports to the Director, Global Space Planning, supporting the JAPAC region, the JAPAC Regional Space Planning Lead and is based in Tokyo. Job Responsibilities:

  • Serve as a Space Planning point of contact for JAPAC and may support other global regions as needed overseeing space planning activities to align real estate strategy with business unit goals and objectives.
  • Develop and recommend scenario plans to support the expansion and contraction of the business at the site level, new office builds, restacks, refreshes, and migration plans including alternative workplace solutions.
  • Facilitate business engagement across all levels of management, gather client requirements and provide space planning solutions to meet business unit day-to-day occupancy needs.
  • Analyze attendance and utilization data to support and inform space strategy and occupancy planning across the JAPAC region and at the building and floor level.
  • Manage space planning related escalations while partnering with Workplace Services and REWS Business Partners to deliver solutions and communicate to key stakeholders.
  • Create executive level presentations including blocking and stacking plans, data analysis and visualization, hybrid work solutions and space programming concepts for key stakeholders and REWS senior leadership.
  • Collaborate with Global Space Strategy and Planning Regional Leads to deliver global initiatives supporting alignment of space planning processes, tools and reporting.
  • Support the JAPAC Regional Space Planning Lead in the development of space strategy recommendations to optimize the portfolio, enhance operational efficiency and cost-effectiveness across the region.
  • Produce and present consistent reporting for the region including key occupancy metrics, trends, space utilization, attendance, forecasted growth and regional portfolio performance to key stakeholders.
  • Deliver campus/building stack, block and migration plans for all sites within the region on a quarterly basis or as needed.
  • Conduct post-restack and project analysis to enhance process improvements and deliver exceptional customer experiences
  • Maintain and ensure accurate occupancy data within the Computer-Aided Facility Management (CAFM) platform.
  • Oversee space and neighborhood allocations and establish desk sharing target ratios.
  • Assist the JAPAC Regional Space Planning Lead and REWS Strategy to develop and maintain headcount forecasts and translate business needs into strategic mid-range (2-3 years) site plans.
  • Support REWS Strategy with supply and demand analysis at the site-level for the region.
  • Collect feedback on flexible and hybrid work and provide recommendations and solutions to meet any business specific challenges.
  • Support REWS Strategy with supply and demand analysis at the site-level for the region.
  • Oversee the implementation of space and occupancy pilots; document key learnings; Partner with Workplace Innovation on future pilots and special projects to enhance the customer experience.
  • Recommend, socialize and enforce space policies, standards and procedures.
  • Support physical space and occupancy audits for the region.

Required Skills / Experience:

  • Bachelor's Degree
  • 7+ years of experience in Space & Occupancy Planning or Workplace Services.
  • Strong communication skills both written and with presentation development and delivery.
  • Expert level data analysis skills with the ability to use data to tell a story
  • Experience working in a fast-paced environment; technology sector experience is highly desired.
  • Proven track record in delivering exceptional customer experiences and providing best in class customer service.
  • Experience working with cross functional teams and ability to influence and arrive at consensus.
  • Experience with CAFM management systems, Serraview is preferred.
  • Proficient at using Google Suite and Microsoft Suite. Tableau and Slack experience is preferred
