What you will do:

We are seeking a high impact individual with exceptional organizational and administrative skills to provide administrative support to executives and associates of PGIM Real Estate in our Newark office. This position requires exceptional organizational skills, astute judgement, and the ability to seamlessly manage competing priorities on behalf of our executives. The expectation is to work from the office a minimum of 3 days a week with two virtual workdays. Additional days in the office could be required if needed for coverage.

What you can expect:

An Administrative Assistant will facilitate a broad range of administrative tasks that are critical to the success of a fast paced and demanding business. The day-to-day might consist of (but is not limited to):

  • Provide exceptional administrative support including scheduling and calendar management, travel bookings, and expense management.
  • Facilitate and coordinate on and off-site meetings and video conference calls - including creating agendas, organizing materials, and managing logistics.
  • Review, reconcile and submit various reports (Travel, Expense, Gift and Entertainment) with required detail and accuracy. Ensure all submissions comply and adhere with corporate policies.
  • Manage general administrative and office management functions - photocopying, filing, organizing, scanning, incoming and outgoing mail and correspondence, and maintenance of office supplies and equipment.
  • Provide support in developing and editing presentations, typically in PowerPoint.
  • Conduct research and compile information for multiple types of statistical reports, using various software, including MS Office, Excel, and Salesforce.
  • Manage relationships with building staff, maintenance, vendors, service providers, and property manager.
  • Onboard new staff members and secure building access, system access, new equipment, corporate credit cards, etc.
  • Work with other administrative team members across business units to handle requests and queries from key executives and senior managers.

What you will bring:

  • 4+ years of administrative experience in a fast-paced environment
  • Flexibility to work from our New York City office as needed, with advance notice.
  • A mastery of all Microsoft Office applications (Word, Excel, PowerPoint, Teams and Outlook).
  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
  • Discretion required in handling highly sensitive and confidential information in a respectful and confidential manner.
  • Strong initiative, self-motivation, good judgement, and the ability to multi-task.
  • Excellent interpersonal and communication skills.
  • Solid editing and proofreading skills and an attention to detail
  • Ability to think proactively and anticipate needs.
  • Ability to work under tight time constraints and be able to prioritize work.
  • Ability to work well with and partner with other administrative and professional staff.

Note: Prudential is required by state specific laws to include the salary range for this role when hiring a resident in applicable locations. The salary range for this role is from $70,000 to $85,000. Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills. Roles may also be eligible for additional compensation and/or benefits. Eligibility to participate in a discretionary annual incentive program is subject to the rules governing the program, whereby an award, if any, depends on various factors including, without limitation, individual and organizational performance.
