What you will do

  • Partner with sales representatives to create and maintain Salesforce records to proactively track all client life cycle events, including opportunities, contacts, organizations, data room access, and client correspondence.
  • Ensure a high-touch level of service to clients in all aspects of the client life cycle.
  • Secure client meeting materials, and coordinate and track Compliance approval via Seismic and Salesforce.
  • Schedule and coordinate meeting logistics, arranging video conference connectivity, prepare printed meeting materials and other logistics.
  • Coordinate international travel arrangements including preparing detailed itineraries
  • Assist with local client events.
  • Provide management reporting to fulfil regulatory requirements for the Zurich office.
  • Process expenses for all Zurich based team members, invoices and client reimbursements as required.
  • Liaise with the IT department to manage and resolve IT/mobile device issues.
  • Perform other administrative duties and special projects as assigned, including coordinating relationships with local suppliers.
  • Work independently on research projects as assigned.
  • Partner with other Europe-based Executive Assistants, and provide backup coverage as needed.

What you can expect

We are seeking an enthusiastic individual who will be a key part of the Business Development team. This is a full-time, on-site role based in our Zurich office. You will provide the team with a high-level of support across a broad range of crucial administrative functions ranging from travel coordination and diary management to general office management.

The candidate will ideally view the role as an opportunity for development and learning.

What you will bring

  • Bachelor's Degree preferred.
  • 7 or more years of executive assistant, project management, sales support or other transferrable experience in a fast-paced and demanding environment.
  • Proficient in technology systems such as Salesforce, Seismic, Tableau, Microsoft Word, Power Point, Excel, Teams and able to work optimally with other teams across the organization.
  • High degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
  • Strong editing and proofreading skills and attention to detail.
  • Ability to think proactively and anticipate needs.
  • Ability to work independently with minimal direction, work under tight time constrains, and be able to prioritize work.
