Job Summary
The Office Manager (Singapore) serves as the facilities operations site lead for the Singapore JAPAC Sales headquarters and provides strategic oversight for serviced offices in Indonesia, Malaysia, Thailand and Vietnam. This role is responsible for maintaining a premium, high-functioning workplace environment by managing day-to-day facilities, front-of-house operations, and executive visits. Beyond standard administration, the position holds a critical technical mandate, overseeing specialized lab maintenance, HVAC systems, and security operations to ensure regional consistency and operational uptime across all ASEAN hubs.
Key Responsibilities
- Manage all day-to-day office and facilities operations for the Singapore headquarters, ensuring a safe, efficient, and welcoming environment.
- Provide strategic oversight and operational support for service offices in Thailand, Malaysia, and Vietnam, ensuring regional consistency in standards and services.
- Oversee technical maintenance schedules and vendor performance for critical infrastructure, including specialized labs, HVAC, and security systems.
- Proactively collaborate with internal teams such as IT, HR, and Security to ensure alignment and deliver a seamless employee experience.
- Manage facilities budgets, vendor contracts, and procurement for the ASEAN region, holding yourself accountable for financial and operational goals.
- Coordinate and execute all front-of-house services, including managing executive visits and large-scale meetings, with a high degree of precision.
- Lead and manage facilities-related projects, such as office relocations, space planning, and implementation of new workplace technologies.
- Serve as the primary point of contact for all facilities-related emergencies and inquiries, demonstrating strong problem-solving skills and a sense of urgency.
Required Qualifications
- Bachelor's degree in a relevant field or equivalent practical experience.
- 5+ years of experience in office management, facilities management, or workplace operations, preferably within a global technology company.
- Proven experience managing facilities across multiple sites, including budget and vendor management.
- Demonstrated technical understanding of building systems, including security protocols, HVAC, and general maintenance.
- Strong interpersonal skills with a proven ability to build trusted relationships with stakeholders at all levels.
Preferred Qualifications
- Experience managing facilities and teams across the ASEAN region.
- Professional certification in Facilities Management (e.g., FMP, CFM) or Project Management (e.g., PMP).
- Experience in a fast-paced, high-growth environment.
- Familiarity with physical security operations and access control systems.
