Primary Responsibilities

The OTC HNW Client Onboarding process supports IED by driving operational readiness, client enablement, workflow management, and cross-functional coordination. This role is based out of Mumbai supporting the team in New York and provides dedicated support for the client-onboarding lifecycle for the US region.

The role is responsible for facilitating and coordinating the client onboarding process, ensuring smooth communication across Sales, Trading, Onboarding team, Operations, Clients, and supporting teams.

Job Description

Onboarding Facilitation & Coordination

• Coordinate collection of client information required during onboarding.
• Act as a liaison between Sales, Trading, Clients, Legal, Settlements, Operations and other cross functional teams.
• Track onboarding progress, maintain visibility of outstanding items, and chase internal approvals.
• Assist with collation and organization of onboarding related documents.
• Support the onshore team in ensuring workflows progresses smoothly across various internal groups and client.
• Ensure all required steps owned by respective cross functional teams are completed without gaps or misses.

Communication & Workflow Support

• Pass client instructions and onboarding details to relevant teams (Sales, Trading, Operations).
• Confirm wire instructions with clients and relay them to settlement teams for processing.
• Provide timely updates to stakeholders and maintain strong communication channels.
• Serve as a go between for clients and internal teams, ensuring clarity and prompt follow ups.
• Manage direct communication with clients with high professionalism and sensitivity.
• Ensure communication standards adhere to internal guidelines (e.g., clarity, traceability, escalation).

Reporting, Governance & Tracking

• Maintain trackers for onboarding progress, pending approvals, and aging items.
• Prepare weekly or periodic status reports for onshore team and management review.
• Monitor workflow bottlenecks and highlight delays with clear owners and action items.
• Generate basic operational metrics (TAT, throughput, backlog, issue summaries).
• Support governance/management materials and presentation preparation as required.

Administrative & Process Support

• Provide administrative support to the NY team.
• Maintain organized documentation, workflow logs, and shared resources.
• Contribute to process enhancement initiatives to improve onboarding efficiency.
• Identify recurring issues and recommend improvements to reduce cycle times.

In house Automation, Technology & Process Efficiency

• Identify & prioritize onboarding workflow pain points; propose AI assisted and Excel macro/Power Query/Power BI automations to reduce manual effort and turnaround time.
• Build and maintain simple Excel/VBA/Power Query dashboards for TAT, aging, and rework metrics; use insights to recommend continuous improvement actions.

Risk & Controls

• Perform control checks related to process and end to end process completeness.
• Escalate timely when exceptions occur, documenting issue background, impact, and required decisions.

Skills required (essential)

• MBA / CA with 3-5 years of relevant experience in client onboarding facilitation, investment banking operations, client service, sales support, or similar roles
• Strong communication (written and verbal) and with the ability to manage relationships and collaborate effectively with both internal and external stakeholders.
• Advanced proficiency in MS Excel and PowerPoint is a must; ability to manage trackers and reporting dashboards.
• Ability to manage time sensitive follow ups across functions and teams.
• Demonstrated experience in reporting, and metrics within a financial services environment.
• Understanding of trade lifecycle, static data concepts, or reference data workflows preferred.
• Experience with Power Query, VBA/macros, Python; hands-on knowledge of Microsoft Copilot/GenAI and basic Power BI would be desirable.
• Excellent organizational and multitasking abilities; comfort working in a fast paced environment.
• High attention to detail and ability to drive progress across multiple tasks and deliver to tight deadlines.
