The Associate, Client Communications supports two Vice Presidents in coordinating and executing client communications workstreams, ensuring operational readiness, strong process controls, and consistent delivery across multiple partners. This role is ideal for a detail-oriented, proactive professional who can manage multiple priorities in a fast-moving environment and is comfortable working across Business, Operations, and Technology teams.

Key Responsibilities

  • Recurring client letters onboarding & maintenance
    • Collect, organize, and help draft business requirements to onboard new recurring client letters and implement updates to existing letters.
    • Prepare inputs required to complete the Minor Development Document (MDD) used by WM Technology's Enterprise Print Services (EPS) developers.
    • Review and approve test outputs for new and updated letters; confirm alignment to documented requirements in partnership with business owners/stakeholders, WM Technology, and WM Operations.
    • Identify issues/defects, escalate when needed, and support resolution through to completion.
  • Ad hoc client letters (Fast Track channel)
    • Partner with WM business owners/stakeholders to execute ad hoc letters, including ensuring letter and data files meet required formats.
    • Proof and QA test outputs prior to release and secure final output approval from the appropriate business owner(s)/stakeholder(s).
  • Governance of recurring letter inventory & repository
    • Coordinate the Annual Attestation/Business Review of a 600+ recurring-letter inventory with WM Operations and ~25 WM business units.
    • Ensure repository metadata remains current (including items such as CCG and CRC/Red Oak ID#s) and facilitate business-owner attestation for accuracy, relevance, and alignment with current policies and regulations.
    • Review/approve new and updated metadata submissions entered by WM Operations in the repository platform and ensure "Joe Client" sample letters are kept current.
  • Cross-functional coordination & stakeholder engagement
    • Coordinate logistics for Centralized Client Correspondence Quarterly Summit sessions (virtual and in-person), bringing together WM Operations and WM Technology and incorporating updates from WM business stakeholders.
    • Help resolve and address feedback, requests, and escalations from the field and/or on behalf of clients related to client letters.
  • Campaigns, communications execution, and project management
    • Support communication strategy development and execution for educational tax efforts and ad hoc business projects across channels (e.g., email, web, mobile).
    • Route materials for stakeholder buy-in and approvals; coordinate formatting with external creative resources; submit and manage Adobe Workfront requests, JIRA tickets, and Red Oak approvals.
    • QA proofs for accuracy, support execution and results review with internal teams, and follow retention procedures.
    • Maintain project trackers, timelines, and status reporting; coordinate translations with external vendors as needed.

  • Agreements and regulatory communications
    • Support updates to E*TRADE agreements (web and PDF) by coordinating review with Legal and Compliance, incorporating feedback, QA/proofreading drafts, and partnering with Web Ops to publish updates to etrade.com.
    • Support end-to-end planning and execution of annual regulatory campaigns (e.g., Annual Notices & Disclosures, Annual Bank Privacy Notice), including approvals, proofing, population review/approvals, and audit-ready documentation organization.
  • Audit and compliance support
    • Support audits and compliance testing by gathering and providing requested materials and documentation within defined scoping periods.


Qualifications:
  • Strong attention to detail and process oriented; able to manage multiple concurrent deliverables with accuracy.
  • Demonstrated ability to coordinate and follow-up across Business, Operations, Technology, and control partners and drive work to completion.
  • Experience with content QA/proofing, stakeholder approvals, and managing structured workflows.
  • Comfort working with project tracking tools and intake/approval processes (e.g., Workfront, JIRA, formal approval routing).
  • Strong written communication skills and judgment handling regulated client-facing materials.
  • Bachelor's degree in Marketing, Business, Technology, Operations or related field.

Expected base pay rates for the role will be between 57,000 and 115,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs
