Assistant Clinic Manager - Park Cities

The manager in this role will work towards building exceptional veterinary care teams, have excellent communication skills, ensure accountability, instill trust and build relationships, and develop their team. Working closely with the Clinic Manager and Lead Doctor, the Assistant Clinic Manager will be instrumental in maintaining operational excellence and ensuring the highest standards of medical quality and member experience.

- Leading a team of passionate and diverse individuals, empowering the hospital team to deliver an unparalleled client experience both in-clinic and virtually
- Managing individual performance of team members and ensuring accountability with respect to Medical Quality, Member Experience, Team Engagement, and Profitable Growth.
- Building and overseeing the appointment scheduler, dedicating adequate time to forward-planning and maximizing productivity (daily schedule scrubbing)
- Identifying development opportunities for team, providing regular feedback and accountability to ensure ongoing growth and skill development resulting in productive clinic operations, placing optimal skill sets across workflows
- Overseeing training and development programs, ensuring compliance, completion, and progression across different pathways
- Approving, correcting, and monitoring timesheets
- Managing PTO requests
- Managing clinic facilities and equipment maintenance, ensuring the overall hospital is set up for success by both proactively and reactively solving for potential issues
- Handling duties related to clinic inventory including but not limited to ordering and receiving products and leading inventory counts
- Managing in-clinic communication, including helping Clinic Manager facilitate daily huddles and meetings across the team, overseeing the huddle board, helping with implementation and trainings
- Aiding in conflict resolution among team members and clients, collaborating with Clinic Manager and HR when needed
- Monitoring client experience proactively. Reaching out to members following escalation tickets. Reporting member experience issues accurately, resolving promptly, and escalating as necessary.

- Demonstrated leadership ability in previous roles
- Previous veterinary experience preferred but not required
- Ability to build trust quickly with others for a collaborative, productive working relationship inclusive of sharing and receiving feedback
- Willingness to grow and adapt, and an inclination to embrace change and work together to build an optimal solution for all
- Exceptional verbal and written communication skills
- Ability to manage through change and bring people together amidst growth
- A collaborative go-getter, willing to roll-up sleeves and be hands-on
- Has experience supervising others and coaching performance e.g. running shifts, overseeing teams, even if not direct management, preferred but not required
Success in this role
- Maintaining and improving clinic’s targets for Employee Engagement, Medical Quality, Profitable Growth, and Member Experience
- Doctor schedule built in Deputy and Claude 6 months in advance
- Maintain inventory levels and ordering to achieve COGS budget
- Appointment scheduler built according to forecast and labor targets
- All facilities maintenance tasks up-to-date and overall facilities cost within budget
- Active Personal Development Plan in progress for all team members
Working conditions
The job of Assistant Clinic Manager at Modern Animal is hourly, requiring at least 2 weekend days per month, with additional weekend days as needed based on business demands, managing team members as well as working closely with your team, working with clients experiencing emotional distress and/or frustration, and handling uncooperative patients. This position will be based in-clinic with occasional travel required locally for training and cross functional meetings.

The pay range for this position is $27 - $33 per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. A sign-on bonus and equity grant units may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered. This information is provided per the California Pay Transparency Act. Base pay information is based on geographic location.
