The Role

This role comprises two key responsibilities:
1.) As the Executive Assistant of our London-based colleagues, you will play a key role in supporting our Client Service and Advisory team. Your contributions will directly impact our ability to deliver outstanding service to our investors by ensuring smooth scheduling and excellent communication.

2.) As the Office Manager of the Madrid office, you will keep our workplace running smoothly and support a positive, people-focused environment. You'll partner with the finance team to track and process office expenses, manage vendor relationships and office supplies, and coordinate local events that bring our team together. This role requires in-office presence from Monday-Thursday.

Your responsibilities will include

  • Proactive calendar management and meeting coordination for senior leaders
  • Supporting business travel planning and logistics
  • Handling confidential information
  • Support the Client Service team with ad-hoc administrative tasks
  • Ensure smooth day-to-day operations for the Madrid team (including team event planning)
  • Collaborate with the finance team to monitor, track, and process office expenses and invoices.
  • Serve as the main point of contact for office vendors and service providers.
  • Oversee general office maintenance and liaise with building management as needed.
  • Assist with onboarding logistics and provide administrative support to the wider team.
  • Partnering with administrative colleagues across global locations to ensure alignment and support
Who We're Looking For
  • A professional self-starter with strong organizational, prioritization and time management skills
  • A proactive and effective communicator
  • Comfortable working with senior stakeholders and maintaining discretion with sensitive information
  • A team player who enjoys working in an international team supporting others and contributing to shared success
  • Proactive, resourceful, and eager to take ownership of tasks big and small
  • Fluency in Spanish and English
  • Very strong computer skills, particularly proficient in Zoom and Microsoft Office Suite (including Teams and Outlook); open to learning new tools
  • Prior experience as an Executive Assistant, Team Assistant, or in a similar administrative role in sectors such as financial services, banking, consulting, legal or technology are preferred
