Position: Fundraising and Special Events Coordinator
Department: Advancement and Innovation
Role Overview: Lincoln Center's growing Special Events and Concierge Services Department seeks a dynamic Fundraising and Special Events Coordinator to join their team, which executes 6 major annual fundraising galas and upwards of 60 additional events per year, ranging from small, intimate cocktail parties to events for 800+ attendees. This role supports the Special Events team by providing timely and accurate administrative support for a variety of major projects. The Coordinator will provide unique insight into how the world's largest performing arts center is run, and we hope that this opportunity serves as a starting point for a career in the arts and/or fundraising. We're looking for someone whose superpower is attention to detail. In this position, you'll need to work swiftly, but always with precision.
What you'll get to do here:
- Assist in the full range of day-to-day department operations
- Manage Special Events in-box and respond to gala ticket/table requests and other event inquiries
- Process incoming gifts for the Special Events Department including gala ticket/table requests, donations, and in-kind gifts
- Compile and maintain invitation mailing lists
- Assist with mailings including generating letters, envelopes, thanks you notes, and tax acknowledgments
- Stuff, seal, stamp, mail gala invitations packages
- Facilitate data entry of event responses including address updates and RSVPs
- Conduct donor research and create research documents
- Archive all digital and print event materials
- Process vendor payments and other expenses
- Work with event leads to coordinate table assignments and venue seating
- Assist with set-up and breakdown of events
- Create and update team Monday.com boards
- Update and disseminate internal special calendar and coordinate updates to external calendar and event websites
- Communicate with New York City Special Events groups regarding date checks
- Maintain inventory of event supplies (ticket envelopes, postage, place cards etc.)
You'll be a fit if you bring:
- 1 year of relevant prior work experience
- Experience in a cultural organization is a plus
- Must be able to work evening events approximately 60 times per year, plus weekends when needed
- Excellent computer skills including Word, Excel and PowerPoint; database experience and comfort working with various systems is essential.
- Proven ability to thrive in a fast-paced, results-driven environment
- Highly organized and exemplary attention to detail
- Strong work ethic (not phased by repetitive work)
- The ability to handle confidential information with the utmost discretion
- Excellent written and verbal communication skills
- Bachelor's degree or equivalent combination of education and experience
- Love of the arts
