Promotions & Loyalty Program Coordinator

JOB DESCRIPTION

Responsible for coordinating the end-to-end setup, execution, and performance tracking of complex promotions and customer loyalty programs across channels. This role partners closely with marketing, merchandising, technology, analytics, and field teams to ensure every offer is configured accurately, launches on time, and delivers measurable results. Operates at the intersection of strategic execution, cross-functional dependencies, and system limitations, the position demands deep organizational knowledge, advanced problem-solving, and the ability to influence without direct authority. RESPONSIBILITIES

  • Lead the design, implementation, and management of membership enrollments and complex promotional offers by capturing business requirements, defining solutions, and collaborating with cross-functional teams to ensure seamless execution and customer experience
  • Execute targeted digital coupon programs by defining customer audiences, creating offers, and collaborating with partners to deliver precise, time-sensitive activations while managing audience adjustments throughout multi-period campaigns
  • Design and implement scalable workflows and onboarding processes by assessing promotional requirements, developing and delivering training, and incorporating stakeholder feedback to drive efficiency and innovation
  • Provide technology and integration leadership by collaborating on system enhancements, building cross-functional relationships, and applying continuous learning to optimize tools and data integrations for offer and membership programs
  • Drive knowledge sharing and training by developing best practices, documentation, and service level agreements, maintaining subject matter experience level expertise, and mentoring team members to enhance skills and adapt to evolving standards
  • Serve as a subject matter expert on offer-related business and technical initiatives by applying deep knowledge of system architecture, data flows, and operational processes to ensure seamless customer experience and accurate reporting
  • Provide operational support through a rotating on-call schedule, responding to incidents, coordinating with technical and business teams, and implementing solutions to ensure system stability and offer integrity under pressure
  • Coordinate setup, testing, and quality assurance for paper, digital, and electronic coupons; validate POS behavior and resolve defects prior to go-live
  • Partner with loyalty/point-of-sale technology teams to troubleshoot and resolve execution issues affecting customers or stores; escalate and drive root-cause fixes
  • Maintain accurate documentation of offer requirements, business rules, test plans, and outcomes; publish clear communications and cut sheets to impacted stakeholders
  • Track in-flight promotions, monitor performance dashboards, and provide daily/weekly status updates to stakeholders; flag risks and recommend corrective actions as needed
  • Build post-event recaps with results, learnings, and next-step recommendations to inform future planning cycles
  • Travel up to 5%, primarily to Cincinnati, Ohio for conferences or team events

QUALIFICATIONS

Minimum
  • High School Diploma or equivalent required
  • Minimum 5 years of experience in Promo Planning, Central Execution, digital marketing, retail operations, Technology or product management
  • Working understanding of coupon and offer mechanics (both paper and digital), POS system behavior, and basic QA/testing practices
  • Proficiency in Microsoft Office Suite
  • Comfortable working with merchandising software systems like business objects, PID, ESP, and RBP that manage multiple data points
  • Familiarity with promotional tactics and supporting offer characteristics
  • Strong project management capabilities with proven ability to manage multiple priorities and timelines
  • Exceptional attention to detail and organizational skills
  • Clear and effective written and verbal communication skills; comfortable collaborating across cross-functional teams
  • Ability to work independently, adapt to changing priorities, and maintain accuracy under tight deadlines
  • Proven ability to interpret data and resolve complex issues related to loyalty program operations and offer execution

Desired
  • Associate or bachelor's degree in marketing, business, or related field
  • Proficiency with database and data analysis tools, including MS Access, Power BI, SQL Server, Databricks and internal data management software for reporting and insights
  • Prior On-Call Support Experience, ability to provide timely assistance and troubleshoot issues during non-standard business hours
  • Experience with setup, administration, troubleshooting Kroger Loyalty Programs: fuel, pharmacy, associate discount, membership programs
  • Familiarity with retail pricing & promotions processes, vendor funding/billing, and A/B testing
