Executive Assistant

JOB DESCRIPTION
Provide high-level administrative support for executive management. Responsibilities may include, but are not limited to screening calls, making travel and meeting arrangements, preparing reports, handling information requests, and performing clerical functions, such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. RESPONSIBILITIES
- Act as the key assistant to the executive and team
- Coordinate routine matters, such as meetings and various other assignments
- Exercise discretion and good judgment in setting priorities, answering or directing correspondences, and coordinating various programs for senior officers and executives company-wide and with other companies
- Maintain familiarity with corporate policies and procedures, the various operating units, department procedures, the organization's levels and reporting relationships
- Ensure accurate, efficient processing and distribution of written correspondences, as well as oral communications directed to the executive and/or the team
- Prepare and maintain routine and special reports, as well as records and analyses, which are required to provide the executive with proper data needed to fulfill their job responsibilities
- Develop a team concept with the executive in order to provide, as an extension of the executive, the leadership and direction necessary to exemplify the philosophy of that office
- Provide administrative support, decision-making, and problem-solving assistance to assist in the total fulfillment of the executive's responsibilities
- Arrange travel schedules and reservations for executive management as needed
- Must be able to perform the essential job functions of this position with or without reasonable accommodation
QUALIFICATIONS
Minimum
- Excellent communication, writing and organizational skills
- Excellent calendar management skills, including the coordination of complex executive meetings
- Ability to maintain highly confidential and sensitive information
- Self-motivated with project coordination experience and an ability to work independently to prioritize and organize work based on changing and challenging deadlines
- Strong software skills in Microsoft Office, as well as the ability to learn new software programs as needed
- Must be a self-starter with strong problem-solving abilities
- Collaborate and work with team members
- Strong organizational and time management skills
- Highly organized and proficient at multi-tasking
- Effectively use organization personnel to achieve objectives
- Ability to easily communicate with senior management at corporate and division level, as well as outside clients and vendors
Desired
- 2+ years prior experience providing support at the executive level
- Experience scheduling travel arrangement for management
