Investment Banking Senior Executive Assistant and Assistant Supervisor (all genders)

As a Senior Executive Assistant and Assistant Supervisor in the Investment Banking team, you will provide high-impact administrative and operational support to senior leaders, ensuring seamless coordination across calendars, meetings, travel, expenses, and stakeholder communications. You will also oversee a team of Executive Assistants to strengthen coverage, service consistency, and continuous improvement across the support model.
Job responsibilities
- Manage complex calendars across time zones, proactively prioritizing and resolving conflicts to protect executive time.
- Coordinate meetings end-to-end, including agendas, materials, logistics, and follow-ups for internal and client-facing engagements.
- Plan travel and build detailed itineraries, managing changes and contingencies with speed and accuracy.
- Process expenses accurately and on time in line with firm policy.
- Draft, edit, and manage stakeholder communications on behalf of executives with a consistent professional tone.
- Maintain secure document and information management processes, protecting confidentiality of sensitive materials.
- Support business governance cadence by scheduling recurring reviews, preparing updates, and coordinating ad hoc requests at pace.
- Ensure adherence to firm policies, privacy, confidentiality, and regulatory expectations.
- Oversee day-to-day execution quality across the assistant team, driving consistent service levels and continuous improvement.
- Monitor absences and holidays and reallocate workload to maintain coverage and continuity.
- Lead recruiting and support onboarding/offboarding to sustain a high-performing support team.
Required qualifications, capabilities, and skills
- Fluent German and English with excellent written and verbal communication.
- Demonstrated experience supporting senior stakeholders in a fast-paced, high-stakes environment in Investment Banking or comparable financial services.
- Proven expertise in complex calendar management across time zones and competing priorities.
- Proven expertise in meeting coordination, travel planning, and expense processing.
- Strong organizational skills with impeccable attention to detail and ability to deliver under tight deadlines.
- High integrity, discretion, and professionalism when handling confidential information.
- Strong problem-solving skills and ability to build cross-organization networks to remove blockers.
- Proficiency with productivity and collaboration tools and ability to learn new systems quickly.
- Demonstrated people-management capabilities, including feedback, workload balancing, motivation, and escalation handling.
- Ability to operate independently and exercise sound judgment in day-to-day decisions and escalations.
- Commitment to an in-office working model five days per week to support real-time collaboration and coverage.

- Experience preparing status updates and supporting recurring business reviews and governance routines.

- Coaching and development experience to support assistant career growth and skills-building.
- Experience maintaining team documentation, job descriptions, and version-controlled process materials.
- Project delivery experience driving support-related improvements end-to-end with clear milestones and outcomes.
