As an Executive Secretary in our team, you play a pivotal role in ensuring the smooth operation of daily activities and executive communications. You will be empowered to manage complex schedules, coordinate high-priority meetings, and support key projects that drive our business forward. Job Responsibilities
- Manage daily operations and coordinate complex calendars for senior leaders
- Organize and facilitate meetings, ensuring all logistics and communications are handled with professionalism and confidentiality
- Prepare, reconcile, and process expenses, invoices, and travel claims in line with company guidelines
- Arrange multifaceted domestic and international travel itineraries
- Communicate effectively with management and resolve issues using sound judgment
- Draft and edit high-quality, concise emails and correspondence
- Build and maintain strong relationships with internal partners and administrative colleagues
- Update and edit Excel spreadsheets and PowerPoint presentations as requested
- Support internal projects and ad hoc assignments as needed
- Proactively manage time away and ensure seamless backup support for executives
- Foster a collaborative and inclusive team environment
Required qualifications, capabilities, and skills
- Senior-level administrative or operational management experience in a large organization
- Strong time management, organizational skills, and attention to detail
- Demonstrated ability to lead and influence without direct authority
- Ability to prioritize and manage multiple tasks in a fast-paced environment
- Excellent interpersonal and relationship-building skills
- Exceptional verbal and written communication skills
- High proficiency with Microsoft PowerPoint and Excel
- Proven ability to maintain confidentiality and exercise sound judgment
