Role overview
The Business Manager - HR Vendor Management Office (Associate) will provide business support to the HR Vendor Management Office, partnering with HR Vendor Management leadership and Finance stakeholders to enable effective vendor governance, reporting, and executive communications. The role supports leadership decision-making through high-quality materials, accurate milestone tracking, and clear synthesis of vendor and financial data. The position is Finance-aligned with a dual reporting line to Finance leadership and the Head of HR Vendor Management.
Key responsibilities
- Executive communications & presentations: Develop, maintain, and quality-check executive-ready materials (operating updates, governance/QBR decks, monthly/quarterly readouts), ensuring clear storylines, accurate data, and consistent formatting.
- Vendor reporting & data summaries: Compile, validate, and summarize vendor-related metrics (e.g., spend, budget/forecast views, savings tracking, performance/SLA-KPI trends, risk/issue themes) into concise leadership-facing outputs.
- Milestone and deliverable tracking: Own trackers for key activities (renewals, contract milestones, governance actions, remediation items), monitor timelines, and drive follow-ups with accountable owners.
- Business rhythm & meeting support: Coordinate agendas and pre-reads, capture actions/decisions, and manage follow-ups across HR Vendor Management forums and stakeholder touchpoints.
- Financial support (in partnership with Finance): Support monthly/quarterly routines including baseline updates, variance commentary, forecast inputs, and ad hoc analysis related to HR vendor spend and operating plans.
- Process standardization & continuous improvement: Maintain templates, documentation, and controls evidence as needed; identify opportunities to streamline reporting and improve data quality and operating cadence.
- Stakeholder coordination: Work across HR, Finance, Procurement, Legal, and Risk/Controls to collect inputs, align priorities, and ensure timely delivery of materials.
Required qualifications
- 2-4 years of relevant experience in business management, finance, operations, vendor management support, consulting, or an analogous role.
- Advanced proficiency in PowerPoint (executive storytelling) and Excel (pivots, lookups, structured tracking; comfort working with large data sets).
- Strong written and verbal communication skills; ability to synthesize complex information into crisp leadership-ready summaries.
- Highly organized with strong attention to detail and a consistent record of on-time delivery across multiple priorities.
- Professional judgment and discretion when handling sensitive vendor/HR and financial information.
- Strong collaboration skills and ability to work effectively in a matrixed organization.
Preferred qualifications
- Exposure to vendor governance/third-party management, contract lifecycle milestones, QBRs, or performance management (SLA/KPI reporting).
- Familiarity with finance concepts (budgeting/forecasting, variance analysis) and data quality controls.
- Experience building lightweight operating routines (dashboards, trackers, standardized templates).
