Position Summary
The purpose of this position is to process fuel tax documentation accurately to calculate taxes due to the states on the client's behalf. This position works directly with the Compliance Advisor and client's third-party vendors to process each document source, ensuring the client's needs are met in an efficient and timely manner.
This position is part of a team that processes paper and electronic fuel, mileage, and toll information for assigned accounts.
Job Responsibilities
- Processes paper and electronic fuel, mileage, and toll documentation for an assigned block of accounts; considering each client's specific vendors and service deviations.
- Ensures receipt and accurate entry of clients GPS, fuel, and toll data. Examines data received to ensure only relevant information is processed.
- Analyzes data to determine if there are errors or discrepancies in the data. Compares client equipment list to data received and identifies missing units.
- Researches discrepancies and corrects client data when applicable, utilizing training, best practices, internal resources, and IFTA/IRP regulations.
- Prepares data in appropriate formats to be uploaded into internal systems.
- Reviews MPG's and requests missing mile and fuel data prior to closing the account.
- Identifies and fixes issues pertaining to incorrect data or issues which may prohibit accurate or on-time tax filings. Works with appropriate internal and external resources as applicable.
- Provides guidance and education specific to each account through daily communication and quarterly compliance reviews.
- Identifies and communicates trends in data that can improve tax savings and/or minimize audit exposure for clients.
- Manages client specifications to ensure all work is processed accurately based on both regulations and client specific business needs.
- Holds clients accountable to deadlines to ensure all work is processed on-time and taxes are filed within the appropriate filing period.
- Accurately processes data for previous reporting periods so that late taxes and amendments can be accurately calculated.
- Maintains in depth knowledge of IFTA, IRP, and mileage state regulations that pertain to processing fuel tax data and taxes.
- Enters credit memos when necessary.

Qualifications
Experience/Education:
- 3+ years of professional services experience utilizing Excel.
- Post-secondary education in a business-related field preferred.
- In lieu of degree or experience, would consider a combination of education and related office experience.
Other Skills/Qualifications:
- Proficient in MS Office Suite with a heavy focus on Excel.
- Strong organizational, problem solving, communication, and critical thinking skills.
- Knowledge of local, state, federal regulations pertaining to vehicle credentialing desirable.
- Ability to apply regulatory knowledge in a variety of situations.
- Independent and strong decision-making skills.
- Ability to deal with ambiguity.
- Desire to meet and exceed client expectations.
- Willingness to participate in background check/fingerprinting requirements at state or local authorities to obtain access as needed to fulfill services.
Physical Requirements
Work is performed primarily in a standard office environment. Work involves operation of personal computer equipment for extended periods of time.
