Job Description
Roles and Responsibilities:
Management of marketing events and programs (in-person, hybrid and virtual) for the European Marketing Team
- Liaise with Marketing Manager to determine sponsorship package according to budget and provide guidance on booth location and congress activities.
- Select booth type and design, and manage all booth activities (test-drives, meetings etc.).
- Coordinate Congress Matrix calls and ensure consistent follow up.
- Prepare and send speaker fees agreement and organize their travel & accommodation when applying.
- Select venue and organize logistics for scientific dinner.
- Logistical support for symposium if applicable.
- Review Exhibitor manual and complete forms accordingly: carpet, furniture, electricity, AV, cleaning & other services.
- Organize mobile system needs, delivery and pick up with transportation company.
- Create new vendors and Purchase Orders (POs) and follow up on invoices for these post-events.
- Ensure compliance requirements are met through submission of internal compliance requests and manage HCP contracts and travel for their participation to Intuitive activities.
- Track budget for each event and provide regular updates to the Marketing Manager.
- Organize accommodation and rooming list for the team in collaboration with our travel agency.
- Liaise with the Marcom coordinator on event project needs and follow up on delivery of assets.
- Liaise with the Marketing Manager to update internal Sales and Marketing Calendar.
- Select venue and organize end-to-end logistics of regional-led events.
- Collect feedback, measure, and track follow-up activities post-event.
- Coordination of other logistics according to event type (Masterclass, webinars, ad hoc meetings etc.).
- Coordination of travel for surgeons to and from events local/international.
- Travel & expense coordination for all UKI KOL’s, proctors & staff to ISI organized events.

Other Responsibilities
- Coordination of marketing mobile systems and warehouse inventory.
- Contribute to the creation and improvement of processes and solutions to increase efficiency in daily operations.
- Collaborate with Marketing Manager on overall congress strategy.
Qualifications
Required Knowledge, Skills, and Experience:
- 5+ years of congress or event organization experience, medical device industry experience a plus.
- Bachelor’s degree or equivalent experience in marketing, event management, communication.
- Languages (spoken and written): fluent in English and French, other languages a plus.
- Demonstrate ability to coordinate projects, and organizing, prioritizing, and coping with various tasks.
- Strong interpersonal skills, ability to work with and manage cross functional teams to reach common project goals.
- Vendor negotiation experience preferred.
- Flexible and reliable, and strong attention to details.
- Good knowledge of the MS Office product suite.
- Having worked in the medical industry environment is a plus.
- Travel up to 30% required.
