Overview
The Project Coordinator assists project managers with specific administrative tasks related to their assigned projects. They organize and communicate all the details of projects and specific assignments to team members and serve as a liaison between those team members and the project manager. This is a junior level role with the goal to move to Project Manager. The Project Coordinator will manage the demand intake and discovery process for PMO projects, ensuring clear deliverables and approvals before implementation.
Responsibilities include creating essential documentation such as resource plans, high-level scoping documents, solution design documents, project estimates, timelines, and project financials. This role involves coordinating across IT teams, facilitating stakeholder communication, and shadowing senior project managers to prioritize and approve projects early in the lifecycle, ultimately handing off to project managers for development and delivery.
Responsibilities
• Support the project team by coordinating meetings, maintaining project schedules, tracking progress, and providing status updates
• Shadow senior project managers to learn advanced project management techniques and best practices
• Assist with identifying risks and managing changes to keep projects on track
• Maintain good communication with all stakeholders, providing updates and ensuring alignment on project goals
• Help move projects through statuses /phases, coordinating approvals and next steps
• Keep templates and libraries organized and up to date within the PPM tool
• Add and remove users, manage user permissions within the PPM tool
• Support the templates and processes associate with resource time tracking
• Generate reports on user activity and other key metrics to support decision-making
• Ensure project documentation is accurate, up-to-date, readily available
• Drive discussions to help technical teams identify dependencies
• Document and publish meeting summary and action items for various meetings
• Facilitate communication channels between various IT departments
• Planning meetings and organizing project logistics
• Seek feedback and continuously improve project management skills and processes to progress your career from junior to senior

Relevant Experience:
- Bachelor's degree in a relevant field (Business Administration, Information Technology, Management, Marketing,
Internships or entry-level positions in project, IT, business operation, admin roles - Experienced with MS Office Suite (Teams, Word, Excel, PPT, Outlook)
- Exposure to task management tools (JIRA, ADO, Trello, Airtable, Asana)
- Basic understanding of the software development lifecycle (SDLC)
- Minimum 75 WPM typing speed with high level of accuracy
- Analytical, critical thinking, organizational, and communication skills
- Works comfortably in a fast-paced and dynamic environment managing multiple projects
