Overview

The Human Resources Administrator is responsible for managing and sorting inbound HR mail correspondence and employment verification requests received from state and federal agencies, third-party vendors, and authorized investigators-an essential function in a business of our size. A key component of this role is overseeing unemployment processes, including managing unemployment-related mail, coordinating with the unemployment vendor to ensure powers of attorney are properly established, and overseeing daily unemployment claims management. This position is both challenging and rewarding, as the HR Department plays a critical role in nurturing and supporting Insight Global's most important asset-its people-throughout their employment.

Responsibilities

  • Oversee unemployment processes, including managing unemployment mail, coordinating with the unemployment vendor to ensure powers of attorney are set up correctly, and overseeing daily unemployment claims management.
  • Monitor, sort, and respond to incoming HR mail and correspondence from state and federal agencies related to unemployment, benefits, wage and employment inquiries, and compliance requests.
  • Triage agency communications by ensuring timely responses using approved templates and escalating urgent or sensitive matters to HR leadership, Legal, or Compliance as appropriate.
  • Maintain accurate and well-organized records of agency correspondence, responses, and supporting documentation.
  • Respond to general employee inquiries routed through the HR mailbox.
  • Serve as the primary point of contact for employment verification requests from the Department of Defense (DoD), authorized private investigators.
  • Review verification requests to confirm proper authorization and consent; prepare and issue responses in accordance with company policy, legal guidance, and data privacy requirements.
  • Coordinate with HR leadership or Legal on complex, non-standard, or government-initiated verification requests.
  • Track verification requests and response timelines to support compliance, audits, and reporting.
  • Maintain strict confidentiality of employee data and follow established HR procedures while supporting process improvements, documentation, and standard operating procedures

Qualifications

  • Bachelor's degree in Human Resources or a related field (preferred); experience with ServiceNow, UKG, or similar platforms.
  • Strong organizational skills.
  • Customer service experience.
  • Proficient in Adobe Acrobat Pro, Outlook, and Microsoft Office.
  • Strong verbal and written communication skills; effective at managing relationships and handling sensitive HR matters.
  • Skilled in prioritizing, multitasking, and meeting deadlines.
  • Capable of researching issues and delivering thoughtful, well-reasoned solutions.
  • Passionate about helping others.
  • Discreet, patient, and calm under pressure.
