Sales Support Administrator
Description:
The Senior Sales Support Administrator operates within larger operational environments, acting as a key support function to the sales team. This role assists members of the sales force by performing components of sales order-related administration, such as the quote-to-cash process. Responsibilities include processing quotes or orders for materials or merchandise from sales staff or direct customer contact, maintaining customer files digitally with sales contracts and other relevant information, providing price quotations, completing order sheets, and checking the price and quantity of each item listed to align with client requests. Coordination with departments regarding order status, shipping dates, prices, product availability, and back orders may also be required.
Key Roles and Responsibilities:
- Operational Sales Effectiveness: Establish relationships with vendors and coordinate everyday interactions, queries, and general information sharing with them.
- Client Quotations: Provide quotes for clients either from direct requests or on behalf of the Sales team. Influence the price and margin by suggesting different products depending on lead times, promotions, alternative suppliers, and programs.
- Purchase Order Administration: Administer aspects of the purchase order process by generating, distributing, and managing purchase orders.
- Quote Verification: Check quotes against raised purchase orders to ensure accuracy and correct application of terms and conditions.
- Vendor Pricing: Assist with obtaining the most current vendor pricing at both quote and ordering stages.
- Sales Documentation: Administer general sales-related documentation through receiving, labeling, sorting, filing, and distributing as required.
- Data Management: Capture data and maintain systems as required by the sales process and sales team.
- Administrative Support: Provide basic/routine administrative support to the sales force.
- Reporting: Use systems and data to produce reports when necessary.
- Process Improvement: Identify and recommend improvements to sales administration processes.
- Provide quotes for clients either from direct client requests or on behalf of the Sales team.
- Influence product pricing and margin by suggesting different products based on lead times, promotions, alternative suppliers, and programs.
- Ensure accurate capture of all necessary Sales Order information into company systems.

- Process and administer client purchase orders promptly.
- Administer general sales-related documentation through processing of purchase orders and distributing as required.
- Collaborate closely with internal stakeholders to ensure order fulfillment.
Knowledge, Skills, and Attributes:

- Knowledge and understanding of sales processes, tools, and methodologies would be advantageous.
- Able to work in a team and independently, applying a proactive approach to routine work.
- High / Secondary School.
- Tertiary institution qualification in business or business process operations - advantageous.
- Experience with industry-leading quoting and ERP systems would be an advantage.
- Previous administration experience, particularly with "quote to cash" processes.
