Executive Assistant, Office of The CEO

About the Role
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to serve as a trusted operational partner to the CEO and Board of Directors of a dynamic, fast-paced real estate company. This role requires exceptional judgment, discretion, professionalism, and adaptability. The Executive Assistant will help protect the CEO's time, coordinate complex priorities, support communication and meeting preparation, and drive follow-through on commitments and special projects across the organization.
What You Will Do
- Own and proactively manage an extremely active calendar for the CEO, ensuring meetings, events, calls, travel, and commitments are prioritized, coordinated efficiently, and prepared for in advance.
- Prepare and process the CEO's expense reports and corporate-card reconciliations accurately and timely, in accordance with company guidelines.
- Arrange complex domestic and international travel plans and itineraries for the CEO, executive leadership, and Board members, including air, hotel, ground transportation, agendas, and contingency planning.
- Serve as the CEO's delegate for routine approvals within authorized systems, ensuring timely processing and compliance with company policies; escalate exceptions or matters requiring executive judgment.
- Monitor, prioritize, and organize the CEO's email, meeting requests, calls, and other communications; draft routine correspondence for review and ensure appropriate follow-through.
- Prepare the CEO for meetings by developing agendas, briefing materials, call lists, and relevant background information.
- Attend selected meetings as requested; capture decisions and action items and coordinate follow-up with responsible leaders.
- Serve as a liaison between the CEO's office, Board members, senior leadership, and internal and external stakeholders, using sound judgment in routing sensitive matters.
- Manage secure Board and executive documents, including distribution, version control, access, and retention in accordance with company and Legal requirements.
- Support cross-functional special projects and initiatives sponsored by the CEO, including research, presentations, tracking, and coordination across regions and functions.
- Plan and oversee company, executive, Board, community, and stakeholder events, including budgets, vendors, invitations, schedules, logistics, and successful execution.
- Maintain the annual Board and committee calendar, director contact information, and the tracking and reconciliation of Board expenses.
- Oversee Board and executive travel and logistics for meetings and events at HHC's master planned communities and other locations; provide on-site executive support as needed.
- Organize logistics for special events and executive-hosted engagements; coordinate vendors, schedules, guest experience, and on-site execution to ensure seamless operations.
- Identify opportunities to improve and streamline executive office processes through AI-enabled tools and workflows that increase efficiency and accuracy while maintaining confidentiality and sound judgment.
- Perform high-level administrative and project-support duties as requested, demonstrating flexibility, sound judgment, and attention to detail in a fast-paced executive environment.
- Handle Board, strategic, legal, transaction, investor, executive compensation, and employee-related information with the highest level of confidentiality; use secure document and communication practices and promptly escalate questions regarding access or disclosure.
- Provide occasional administrative support related to the CEO's professional responsibilities, as appropriate.
- Travel occasionally as required, including domestic and international travel and event support outside normal business hours.
About You
- 8+ years of progressively responsible experience supporting a C-suite executive; experience supporting a CEO, Board, public company, real estate company, investment firm, or similarly complex organization strongly preferred.
